Position Title: Parish Bookkeeper

Terms: Part-Time – Year Round; Salaried and Task Oriented

Reports to: Priest-In-Charge

Position Summary:

The Parish Bookkeeper is a member of the St. Mary’s staff and as such oversees routine financial functions of Parish operation including recordkeeping with Church Windows, filing of supporting documentation, banking, report preparation for monthly, quarterly and annual required purposes, and meeting with staff as well as Parish leaders. Working collaboratively as a member of the staff the Bookkeeper insures progress on Parish goals and objectives as approved by the Vestry. With assistance of the Treasurer, Finance Committee, and Stewardship Committee, provide and maintain records which inform and support their responsibilities in the annual business operations of the Parish. Throughout all activities ensure friendly customer service, accurate reporting, and timely preparation of information that assists the Parish leadership and congregation with their responsibilities.

Responsibilities:

  • Serve as the recorder of financial transactions and preparer of reports for revenue and expenses of the Parish.
  • Perform weekly, monthly, quarterly and annual tasks required to insure accuracy of records and comply with Parish policies.
  • Assist the Treasurer by insuring appropriate separation of responsibilities to comply with Parish and Diocesan policy.
  • Reconcile bank statements monthly in a rhythm that supports information needs of the Treasurer, Finance Committee and Vestry (meets monthly on second Tuesday evening).
  • Prepare payroll documents and reports for payment on the 15th and last workday of each month. Insure payment of all payroll taxes and deductions to the designated source.
  • Prepare checks for payment of all Parish financial obligations after insuring proper approvals for the amount.
  • Perform tasks and procedures in a manner that aligns with prior Parish audit results and preparation for the next audit in the Diocesan cycle.

Qualifications:

  • Education, Training and Experience with Bookkeeping and Accounting subjects.
  • Demonstrated experience with bookkeeping for non-profit or commercial businesses.
  • Demonstrated attention to detail, ability to meet deadlines

Desired Characteristics:

  • Experience with Church Windows software.
  • Member or former member of a congregation
  • Bachelor’s Degree or equivalent experience.
