STATEMENT OF POLICIES & PROCEDURES CENTER’S PURPOSE AND PHILOSOPHY ON CHILDCARE

The purpose of BEYOND THE BELL (BTB) is to:

Broaden interests and develop new skills by offering a variety of interesting classes,

Reduce the stress on working families by providing a fun, safe environment for kids to spend their after‐school hours. AGES OF CHILDREN TO BE ENROLLED BTB accepts children ages 5‐15

HOURS OF OPERATION The hours are from 7:30‐5:30. Monday through Friday.

Late Pick Up Policy

All children must be picked up by 5:30pm. If a parent is late there is a $5 fee for 1 to 15 minutes late and $1 per minute thereafter. It is the parents’ responsibility to sign the time signed out on the time sheet. Emergency contacts will be called after 30 minutes and police called after 1 hour.

ATTENDANCE

Please include the days of the week that your child will be attending Beyond the Bell on the enrollment form. These will remain the same from month to month unless written notice is given. If you need to make changes to the days, please give written notice of 7 days. You may include a calendar for the days your child will be

attending if the days will not always be consistent.

POLICY FOR ADMISSION AND REGISTRATION

Children enrolled in program must have required forms filled out by parent prior to attending. We require that any changes of address, phone numbers, emergency contacts, enrollment dates etc., be addressed in writing. These changes will be added to child’s file folder. Each child MUST provide a copy of current immunization records to be kept on file at BTB.

EMERGENCY‐ Whereabouts of our evacuation facility. Confirmation as to necessary safety procedures will be made through contact with our local law enforcement. If possible Staff will bring attendance book and phone when evacuating.

Fire‐ (Fire drill should be conducted at least once a month). Staff and children will leave the facility through safest and closest route all staff and children should leave through the same exit together. A staff member will be the last one out. Meeting places for all staff and children will be on the playground area. Once evacuated safely from the building attendance will be taken to ensure all kids are accounted for. The authorities should then be called. Then Parents can be contacted.

Tornados‐ In the event of a tornado children will be moved to the innermost part of the building away from windows, asked to sit on the floor, preferable along a solid wall and place head down with hands over their head.

PROCEDURE FOR WITHDRAWING FROM PROGRAM One week written or verbal notification is required to withdraw from the program. Parents or guardians may be asked to withdraw their child from the program if:

.A) In our judgment, we lack the special resources to serve additional needs of your child.

.B) If we determine that your cooperation regarding a problem is absent, BTB will do our best to evaluate a problem and discuss solutions.

.C) If in our judgment a parent/guardian /persons authorized to pick up a child acts in an inappropriate way towards a Beyond the Bell Staff Member, child, or another person. (This includes inappropriate texts, phone calls or discussions. Concerns with a BTB staff, parent, or child other than your own need to be addressed with Crystal Garrison or person that has been delegated in her absence.)

ACTIVITY PROGRAMMING

Extracurricular activities will be offered at BTB. If students are signed up for the program, they are required to attend for the full class. Exact activities TBA. Enrollment in the activity will continue until parents notify BTB that their child will be stopping. Please decide with your child prior to the activities which they will be attending.

***-If A Contractor is hired a BTB teacher will always be with the contractor. Some Classes may have a summer fee to join class. Sign up for classes are on a first come first serve sign up basis. There will always be a non-fee, high quality extra-curricular class offered at all times.

**(*All, Biking, Fishing, Kayaking classes must be attended every class and will require a bike safety, bike maintenance and water safety class weekly.

SNACK POLICY

BTB will provide snacks from reliable food sources and all procedures for safe food handling will be followed

by staff. Hand washing before and after all food preparation and eating will be mandatory. Food allergies will be posted and an optional snack provided. Children are allowed two snacks from BTB daily, they may bring an additional snack to the program if the snack provided is not enough. Food MUST be eaten during snack times. A Training to all staff covering food allergies will be attended by a special guest and Registered Nurse. Epi-Pen Training is required by all staff.

VISITOR POLICY

All visitors are required to sign in and state nature of visit. Director will establish communication with all visitors and follow procedure as outlined in state rules and regulations, ensuring safety to all staff and children. All student and staff files will be confidential.

PROCEDURE FOR IDENTIFICATION OF CHILDREN’S WHEREABOUTS

Parents are responsible for signing their child into and out of BTB. If your child is to be signed in or out by themselves a separate authorization form must be signed. The enrollment book will be accessible to staff at all times.

Notification of absent children is required by BTB by phone or in writing. If child is not present on a scheduled day, parents need to let the BTB staff know.

A message board located near the sign out book will be available as to our whereabouts.

Cellular phones will be used to ensure constant communication. The numbers are 970‐456‐3314, 970‐ 366‐2005, 9704563314. The Director, Crystal Garrison, can be contacted 24/7 at 707‐631‐3993.

Sign in sheet will have a space for emergency numbers and comments. NOTIFICATION OF PARENTS DUE TO ILLNESS/ACCIDENTS OR EMERGENCIES. Parent or guardian will be notified of illness or in case of accident and emergencies by a BTB staff member via telephone. A separate area will be used if child is vomiting, has a fever or determined ill by a staff member until child’s parent or guardian has been contacted and child has been picked up. A sick child must be separated from the group. In an emergency, BTB will attempt to contact the participant's parent or guardian. If the parent or guardian is unavailable, we will attempt to notify the emergency contacts listed on your child's enrollment form. BTB will take necessary actions in the child's best interests until the parent, guardian or emergency contact has been reached. An incident report will be filled out by all staff members present following a severe injury, illness or emergency. Beyond the Bell’s Policy RE: Contagious Diseases No child having any contagious or infectious disease (including Head Lice/nits, ZERO NIT POLICY) shall be permitted in the Beyond the Bell program. This includes both the after school programs and the summer day camp. If any student is known to have such diseases, that student shall be sent home as soon as arrangements can be made with a parent/guardian. The student shall remain away from the Beyond the Bell program until satisfactory evidence is presented from a physician or county health officer that the student is free of the disease. To ensure the well being and safety of the other Beyond the Bell campers and staff, we require any campers who have been infected with Lice/nits to provide written proof of treatment and have a follow‐up scalp check to confirm the treatment has worked. has determined the lice/nits are gone, the camper will not be permitted to return to the Beyond the Bell program.

If an infected child gets clearance from the doctor that all lice/nits are gone they may come back to BTB. However if on a future scalp check they are found with lice/nits again they will be sent home and not able to return until they get another treatment and doctors clearance. The doctor clearance must state that a thorough scalp check has been conducted by him/her and that no lice or nits have been found.

POLICY ON RELEASING CHILDREN

BTB will release children only to persons authorized in writing on enrollment forms. Identification measures will be taken to ensure proper releasing of children. All authorized persons will be required to show picture I.D. before child will be released. If the person picking up the child is not listed on the enrollment form a written notice or phone call from the parent must be presented. Children will not be released to persons attempting to pick up the child if not authorized on the enrollment form or with written notice or phone call from the parent. Parents must sign children out before leaving the facility. Staff procedures for closing the operating day are to ensure that all children are picked up before leaving for the day. If children are to leave under their own accord they must sign themselves out and a proper release form must be on file and signed by parents.

CHILDREN’S MEDICATION POLICY

BTB will not administer medication to children without an action plan signed by a doctor. (Asthma Inhailers are an exception) During the summer program medication will be administered only by a staff person who has completed medication administration. All medication must be in the original container and the medication permission form must be filled out and signed by parent and physician. All medication given will be documented on the medication log.

CHILDREN’S PERSONAL BELONGINGS POLICY

We encourage children to leave their belongings at home and any personal items will be kept in their backpacks. In the event that something is lost or stolen, BTB is not responsible. We ask that all property belonging to the camp, school, and others be respected.

PROCEDURES FOR FILING COMPLAINTS AND REPORTING OF CHILD ABUSE

Under Colorado law, all day care center staff is required to report all suspected child abuse and neglect to the Colorado Department of Social Services at 1‐800‐799‐5876

Policy & procedures for reporting child abuse will be posted for staff and parents with proper department agencies and important phone numbers.

Parents have the ability to file complains to the Department of Social Services and compliance to procedures will be followed.

If the reportable incident occurs at a BTB facility, the report will be made in the county in which the child resides.

All reports will be filed according to state rules and regulations and copies will be made and kept on permanent file.

In the event of a parent/guardian arriving to pick up child showing any signs of being under the influence of drugs or alcohol; BTB staff reserves the right to notify police and keep the child at camp until a “safe” adult can be notified to attend to the child. 707-631-3993 139 River Boat Drive, New Castle, CO 81647

DISCIPLINE POLICY

(The policy regarding the child care facilities’ responsibility to notify parents or guardians when the program will no longer be able to serve children.)

The philosophy at Beyond The Bell on appropriate behavior is simple. Beyond The Bell has a high level of behavior expectations. BTB staff is held accountable to be sure that expectations of respect towards all students, staff, parents and all persons authorized to pick up the children hold the high level of behavior expectations while around the program in any way. Students are to treat other people and things the way you want to be treated. At no time is harming yourself, others or property acceptable. Our approach to discipline is positive in nature and involves conflict resolution and allowing children to “talk out” their problems with adult supervision.

The goal of Beyond the Bell is for each child to develop a sense of respect for themselves and others. We strive to create a child care environment that encourages children to make positive choices, to enter and exit peer groups with increasing skill and satisfaction, and to learn to live in a respectful and cooperative manner.

When a problem arises, steps toward reaching these goals will include:

  1. Staff will work with the child, discussing the problem, suggesting and supporting behavior changes, explaining and redirecting.
  2. If a pattern of negative behavior persists, the child care supervisor will talk with the parent(s) in order to obtain assistance and suggestions for developing effective approaches with the child. A behavior plan may also be initiated.
  3. If all reasonable approaches are exhausted, the pattern of negative behaviors continues, and/or the child’s actions are a threat to the well‐being and safety of other children and/or staff, parents may be asked to remove a child from the child care program. Depending on the severity of the behavior, a child may be placed on a suspension step‐plan as follows: 1‐day, 3‐day, 5‐day, 10‐day, and then permanent suspension. Suspension steps up to and including permanent suspension can be immediate if behavior warrants this action. Parents are charged for suspension days. Behaviors that may warrant suspension include physical violence or the threat of physical violence, biting, persistent bullying or swearing, consistent disregard of staff direction and guidance, verbal harassment of peers or staff, and unauthorized departure from the grounds of the program.
  4. Parents can seek to re‐enroll a permanently suspended child once the negative behavior stops. In order to re‐enroll, a meeting with the parent, coordinator and school staff (if appropriate) will be held, and the child may be allowed to return on a probationary basis.

Discipline will be age appropriate, constructive and educational in nature and may include such measures as diversion, separation of the child from the problem and mediation and problem solving. Children will at no time be subjected to physical or emotional harm or humiliation. Staff and children may not use corporal or other harsh punishment including verbal abuse. Discipline will not be associated with food, rest or toileting. No punishment accepted for toileting accidents. Food will not be denied or forced upon any child for any circumstances. Separation of a child when used as discipline will be brief and appropriate to the child’s age and circumstances. The child will be in a safe, well‐lighted, well‐ ventilated area and to be within hearing and sight of staff members. Child will not be isolated in a locked room, bathroom, closet or pantry. Verbal abuse and derogatory remarks about the child are not permitted. Authority on discipline will not be delegated to other children at any time. BTB will not sanction one child punishing another.
