1. Welcome / Opening Prayer / Introductions
2. Pre-Shelter / Team Huddle - 5:30 to 6 pm each evening
- - Check for phone messages - Call from Maggie - Check Shift Log
- Lay Out Binders & Equipmentincluding smoke detectors, nightlights, flashlights
- Check Premises for “stashed” items (toilets, trash cans, smoke area)
- Review Equipment andProcedures with Volunteers
- Who to carry cell phone (reminder note on exit door)
- Who to CLOSELYsupervise smoke breakson the hour
- Coordinators & Volunteers sign Confidentiality/Scope of Svc Agreement
3. Intake Shift - Ensure Consistency
a. Sunday Welcome & Remindersprior to Intake
- Smoke Breaks on the Hour
- Kitchen Off Limits
- No Food in Sleeping Area
- Lights Out / On & Morning Transportation
b. Returning Guests
- Weekly Background Checks (Public Safety & PSOR) can be later that Sunday night
c. New Guests
- Explain Screening Process (“certain” W&W, PSOR, Psnl Check, PBT)
-Review revised “Wants & Warrants Policy”
- If they wish to proceed, have them sign the first page of Intake Packet
- Call Public Safety and check PSOR
- Proceed with Intake & Tour, Issue Bed & Tote, Dinner Menu & Time
- Before lights out, complete remaining paper work, explain morning routine transportation,andreview pick-up times & locations
d. Intake Process (All Guests)
- Sign In Log -Ask if any changes to Admission Packet Info / Meds
- Breathalyzer- Report low tube supplies to Exec Comm – Do not reuse
- Metal Detector Wand Wanding Demo: Find the errors!
- Remove shoes, boots, outer ware (chairs & rug)
- Wand never touches Guest / never inside legs
- Wanding is always Gender-matched / rest of Intake need not be
- Personal Search
-Guest to empty their purse, bags, backpacks unless they say it is OK for Volunteer to do so.
-Slowly and carefully remove EVERYTHING from bags, etc.
-Review “OK / Bag / Discard” lists
4. Shift Transitions
- Entry in Shift Log
- Call Maggie (Coordinator)
- Update Incoming Volunteers, Give Tour, & Review Bed Map & Phone #s
- Hand off Cell Phone
5. 2nd 3rd Shifts
- 10 pm Last Smoke Breat
- 10:30 Lights Out / Lights On 6:30 to 7 am
- Be ready for arrival of transportation
- Clean Up / Lock Up
6. Coordinator Responsibilities
- Leave phone message for Maggie at end of Intake
- Maggie calls next lead Coordinator on Friday to prepare for their week
- Incidents: Immediately call Exec Comm & Maggie + document
- Prompt Guests to clean sleeping or social areas as needed
7. Moving Day
- No Food in Totes
- Clearly Label Totes – use stickers or tape… never mark on Totes
- Guests help in packing and moving totes to pick-up area
- Clearly mark “dead beds” to be inspected by Exec Committee
8. Unusual Occurrences:
- Guns, Knives, other Weapons
- Marijuana Cards
- Prescriptions / Do not Lock Up without Exec Comm permission
- Animals / Pets
- After-hours Admissions
- Document in Shift Log and Incident Report if appropriate + calls
