Title:Procurement and Administrative Support

Reporting to:Finance Manager

Location:Head Office Production Facility, Marsh Barton, Exeter

Job summary:To assist the Finance Manager in achieving the goals of the Company. To ensure the presentation of a positive, professional Company image by means of the polite, efficient contact with the Company’s suppliers. To provide procurement and administrative support to the company, achieving the best price and quality for all purchasing requirements.

Duties and responsibilities:

  • Negotiate best deal contracts with suppliers.
  • Ensuring all supplier Health & Safety and insurance documentation are in place and up to date.
  • Raising purchase orders and reconciling supplier invoices.
  • Ensure supplier rebates are accurate and applied.
  • Efficient liaison with suppliers to resolve invoicing queries.
  • Attend meetings with suppliers.
  • Assist management in the implementation of any new purchasing system / software.
  • Implementation and monitoring of SLAs.
  • Checking stock levels within the business and ordering when necessary.
  • Efficient, articulate e-mail communication on Company matters.
  • Polite, efficient interaction with customers and visitors to the Head Office.
  • Pro-active communication with other staff members to ensure timely delivery of information,messages and all work related communications.
  • To assist members of the management team in ad hoc administrative tasks.
  • To demonstrate a mature, considered approach to workplace issues and relationships.

Skills and qualifications:

  • To be educated to a minimum of GCSE standard (or equivalent) with at least 5 passes at ‘C’ grade or above. Higher level education or Level 3 business related qualifications would be considered as a positive attribute.
  • Excellent communication skills, both written and verbal.
  • Ability to build solid supplier relationships.
  • Strong administrative skills.
  • Good analytical skills with an attention to detail.
  • Ability to identify and drive profit potential from all aspects of the business.
  • To have the ability to manage and prioritise requirements in order to ensure all tasks are completed within set timescales.
  • Be flexible in the approach to prioritisation of workload.
