Chapter 2
Why does my preview look different?
Your preview may contain a color scheme or font scheme from a previous publication. Figure 2–3 uses the default settings.
Why does my shortcut menu already display paste options?
Someone may have copied or cut something to the Clipboard on your machine. It will not affect your current steps.
Why does my Business Name text box display different words?
The person who set up your installation may have supplied a default name for Publisher Business Name text boxes.
What if I do not want formatting marks to show on the screen?
If you feel the formatting marks clutter the screen, you can hide them by clicking the Special Characters button again. The publication windows presented in the rest of this chapter show the formatting marks.
Why does my publication wrap on different words?
Differences in wordwrap relate to your printer. It is possible that the same publication could wordwrap differently if printed on different printers.
How would I remove an italic format?
You would click the Italic button a second time, or you could click the Undo button on the Quick Access Toolbar, immediately after clicking the Italic button.
How can I tell what formatting has been applied to text?
The selected buttons and boxes on the Home tab show the formatting characteristics of the location of the insertion point.
How would I remove an underline?
You would click the Underline button a second time, or you could click the Undo button on the Quick Access Toolbar, immediately after clicking the Underline button.
Are other types of underlines available?
In addition to the basic solid underline shown in Figure 2–17, Publisher has many decorative underlines, such as double underlines, dotted underlines, and wavy underlines. You can access the decorative underlines in the Font dialog box using the Underline box arrow.
How would I remove a bold format?
You would click the Bold button a second time, or you could click the Undo button on the Quick Access Toolbar immediately after clicking the Bold button.
Do all fonts have fancy stylistic sets?
No, usually only OpenType or scalable fonts contain stylistic sets other than bold and italic.
Can I format more than just the first letter to be a drop cap?
Yes, you can format up to 15 contiguous letters and spaces as drop caps at the beginning of each paragraph.
Will this drop cap look inconsistent with the other fonts on the page?
After you fold the brochure, the drop cap will appear on the back of the brochure and will not detract from or interact with any other font.
Are there other ligatures?
The standard ligatures are fi, ffi, and fl; however, in some font families, Publisher offers discretionary ligatures that you may create, including all of the ascending letters that might follow the letter, f, as well as ligatures such as ki, th, or ae.
Why does the mouse pointer display a paintbrush?
The mouse pointer changes when a format has been copied. Once you apply the format by clicking somewhere else, the paintbrush will disappear.
Can I use the Format Painter button to apply the copied formatting to multiple locations?
To apply formatting to multiple locations, double-click the Format Painter button so that it stays on. When you finish, click the Format Painter button again to turn it off.
Can I use the Format Painter button on objects other than text?
Yes. You can copy applied formatting of a graphic, WordArt, shapes, fills, or any object from the Building Blocks gallery. If you can change the style or set formatting options, you can copy them from one object to another.
Do I have to select the picture first?
To replace the current graphic, yes. Otherwise, the clip art is inserted in the middle of the workspace.
What if I am not connected to the Web?
If you are not connected to the Web, the Include Office.com content check box will not be checked. Your search then would be limited to the clip art installed locally on your computer.
What if I want to use a photo from a file?
If you want to use a photo stored on another medium, close the Clip Art task pane and then right-click the graphic. Point to Change Picture on the shortcut menu and then click Change Picture. Browse to the location of the photo, as you did in Chapter 1. Click the Insert button (Insert Picture dialog box).
What is the difference between the media types?
The ‘Results should be’ box arrow displays four types of media to include in the search results: Illustrations, Photographs, Video, and Audio Illustrations includes all images that are not real photos, without animation or sound. Photographs are pictures of real objects. Video includes all clips that contain any kind of animation or action. Audio clips do not display a graphic, but play a sound if the speakers are turned on. Video and audio clips are used for Web publications.
What are the links at the bottom of the Clip Art task pane?
The first link starts a Web browser and displays content from Office.com. The second link offers tips from the Publisher Help system on finding images.
What are the black handles that are displayed around the photo?
Recall from Chapter 1 that Publisher automatically displays cropping handles that allow you to crop the photo, if necessary.
Could I have used a picture placeholder for this clip art?
You could have clicked the Picture Placeholder button (Insert tab | Illustrations group) first to create a sized boundary; however, the picture placeholder creates an icon to open the Insert Picture dialog box, rather than the Clip Art task pane.
Can you delete a caption?
Yes, but be sure to delete the text box as well as the text. If the caption is part of a group, click once to select the group, then point to the border of the text box and click to select it. Finally, press the delete key to delete the caption text box.
Can I check spelling of just a section of a publication?
Yes, select the text before starting the spelling check.
What if the proper noun is spelled correctly?
If the flagged word is spelled correctly, click the Ignore button to ignore the flag, or click the Ignore All button if the word occurs more than once.
Will the Design Checker fix the problems automatically?
In some cases, you will have the option of choosing an automatic fix for the issue; in other cases, you will have to fix the problem manually.
What are the links at the bottom of the Design Checker task pane?
You can click the Design Checker Options link to specify the order in which the Design Checker checks the pages of your publication, or to specify which kinds of design issues to include. The second link offers tips from the Publisher Help system on running the Design Checker.
What are the listed design problems?
A small amount of space appears between the margin of the page and the closest object to the margin. This is intentional and was part of the template, but the Design Checker notes the problem, for your information only. If this is not fixed, print quality will not be affected.
What are the rulers in the Print gallery?
Publisher displays rulers at the top and left of the print preview to help you verify the size of the printed page. You can turn off the ruler display by clicking the Ruler button at the top of the right pane.
If the brochure has only two pages, why do all of those preview grids exist?
Publisher allows for more pages in every kind of publication, should you decide to add them. If you click a button in the grid for more than two pages — either horizontally or vertically — the size of the preview is reduced.
Is that the best way to preview the brochure?
Viewing two full pages with intensive graphics and text may give you a good overview of the publication; however, do not substitute the preview for checking the publication for errors by reading the content carefully and running the spell and design checking tools.
Should I save my file first?
You do not have to save it again; however, if you use a storage device other than the one on which you previously saved the brochure, save it again on the new medium before beginning the process.
What does the Save for Another Computer button do?
It performs the same collection process as the Pack and Go wizard, but it allows you to choose whether or not to embed fonts and include any linked graphics.
What if I run out of room on my storage device?
Graphic files and fonts require a great deal of disk space, but should fit on most USB flash drives. If your USB flash drive is full, have another storage device ready. Publisher will prompt you to insert it.
Publisher displayed a Pack and Go font embedding error message. Did I do something wrong?
Probably not. You may not own rights to the fonts on your computer, if you are connected to a network printer. Click the OK button to continue with the Pack and Go wizard.
