Job Title Finance and HR Assistant

JOB PURPOSE
1. To assist the Finance Manager with financial processing.
2. To provide administrative support for HR and recruitment.
3. To be part of the office team, ensuring high quality administrative and receptionist support to key stakeholders.
4. To actively model and promote the values and ethos of the school.
5. To work proactively across The Claxton Trust to ensure consistency in processes and procedures.
KEY RESPONSIBILITIES
Finance and Business
1. To assist with financial processing, ensuring compliance with trust policies, the scheme of delegation and the internal control framework
2. To collect and record money for dinners, trips and other school events in line with agreed processes.
3. To count money collected daily, ensuring it balances with the relevant records.
4. Maintain office stationery and have oversight of school resources, for example copier paper.
5. To assist with the school’s procurement procedures by ordering stationery and resources and checking orders for quality / against delivery notes.
6. To liaise with suppliers and to load supplier and customer details on to Sage.
7. To monitor debts and proactively chase parents for money in line with policies and agreed procedures.
8. To support with financial administration, including milk and swimming.
9. To maintain accurate records and support with filing in preparation for month end and year end processes and the annual financial audit.
10. Liaison with colleagues from within The Claxton Trust to ensure consistency of processes and procedures across the Trust.
Human Resources Management
1. To assist with administration linked to recruitment of staff or volunteers, including:
o Posting adverts online
o Booking visits and dealing with enquiries from candidates
o Collating applications for shortlist
o Inviting candidates to interview
o Supporting with pre-employment checks
o Printing materials for recruitment packs
o Greeting candidates
o Preparing new starter checklists and HR files.
2. To assist with the maintenance of confidential staff records.
3. To complete ad hoc HR administration including change of personal details and pension forms.
Other responsibilities
1. To undertake reception duties in a busy school office, including response to telephone and personal enquiries as required.
2. Assist with pupil welfare matters, including contacting parents and staff.
3. Contribute to the overall ethos / work aims of the school.
4. Establish constructive relationships and communicate with other agencies / professionals.
5. Participate in training and other learning activities and performance development as required.
6. To undertake any other duties as appropriate to the grade of the post as requested by the headteacher or school business manager.
PERSON SPECIFICATION
KNOWLEDGE, EXPERIENCE AND TRAINING
Essential
1. Experience of administrative work.
2. Good numeracy and literacy skills, including good standard of spoken and written grammar.
3. Good communication skills.
4. Ability to use standard ICT systems.
5. Ability to work in a team.
6. Understanding of the needs of children.
7. Ability to use initiative to solve problems.
8. Good attention to detail.
9. Have excellent organisational skills and be able to deal calmly with the pressures of a busy school.
Desirable
10. Evidence of accredited learning relevant to the post (NVQ level 3 or equivalent).
11. Experience of working in finance or HR.
12. Experience of working in a customer facing role.
13. Experience of using specialist software (e.g. Sage or SIMs).
14. Basic knowledge of first aid.
