The Board voted via email on July 2,2017 to expend $7.95 for one month’s use of the Tennessean/Banner archives for the West End High School Athletic Hall of Fame committee to use for research purposes. As there is a free one-month trial, this expense may not be necessary.

OLD BUSINESS

Oakley Christian Memorial Fund – John Wade received an email from Trish Ketchum, Bookkeeper at West End Middle School, acknowledging receipt of the check for the camera and equipment in the amount of $4808.81. The check has been deposited and payment was sent to MNPS Financial Operations.

West End High School Athletic Hall of Fame - on July 10, 2017 the expanded committee met for review of the proposed members for the Hall of Fame. The additional Committee members are Julie Waters, Betty Jane Taylor, Patsy Vaughan, and Bob Alley. The West Winds, Zephyrs, and Those Were the Glory Years by Stan Tyson were reviewed. When the study of the newspaper archives is complete, a list will be compiled and presented to the Board.

NEW BUSINESS

Procedures for Fund-Raising Events and Projects

The following procedures were accepted on a motion made by Ed Wasserman; seconded by Julie Waters. APPROVED.

  1. The purpose must fall within the guidelines of our 501c3 designation, being educational in nature and benefitting WEMS as well as West End High School alumni activities.
  2. A date for the project or event needs to include beginning and ending dates for donations but there is flexibility to extend continued fundraising depending on the project or event.
  3. The Facebook pages and Alumni Association website may be used to publicize the event/project with information on use of Pay Pal or any other payment method, and the processing fee for credit card donations included in the publicity.
  4. A targeted budget must be included along with a recommendation from the principal or an instructor for the project/event. Approval of all events and projects sponsored by the Alumni Association must be obtained from the Board prior to beginning of any fund-raising and publicity.

Website and Facebook – The maintenance of the Alumni Association’s website as well as Facebook postings were discussed. The Board will seek input for various sources for the most effective use of these methods of communication to the Association.

The date of the next Board of Directors meeting is Tuesday, September 19, 2017 at 10 a.m. in the Alumni Room
