Purpose:

To administrate the HR and Health and Safety functions, developing and maintaining robust systems whilst keeping abreast of current legislation and ensuring the consistent achievement of quality standards.

To provide additional administrative and secretarial support as required.

Main Duties & Key Responsibilites:

·  To be Chickenshed’s key H.R. contact, advising on H.R. issues. Supporting the recruitment process including the issuing of contracts of employment, booking training and advising finance department of staff changes.

·  To ensure best and most cost effective use of advertising media to ensure a good pool of appropriate candidates for vacancies.

·  To respond to HOD’s requirements for a programme of essential staff training as required, managed within the required allocated budget.

·  To advise HODs on H.R. issues and to refer any HR issues for which external advice is required to the Theatre Manager.

·  To administrate Chickenshed’s secure, confidential personnel filing system, including recruitments, references, health checks, CRB checks, job descriptions, appraisals, contracts, training / leave records and any employees benefit schemes.

·  To administer the Criminal Records Bureau Disclosure system for the Company,

ensuring all new personnel are checked to appropriate levels, ensuring database is updated.

·  To review and develop Chickenshed’s Staff Handbook and other literature – keeping up to date with current HR and Health & Safety legislation and best practice.

·  To attend and administrate Chickenshed’s Health & Safety Committee, offering advice on current legislation, keeping accident / incident /investigation records and maintain all First Aid supplies, stock all First Aid Bags.

·  To administer Chickenshed’s legal requirements e.g. licence renewals, Data Protection Act returns, Planning Permissions.

·  To be part of the smooth and efficient day to day running of the main office, covering general office duties as required and working in close liaison with the other administration staff to ensure good communication with all other personnel.

·  To work within the philosophy equal opportunities policy of Chickenshed.

·  To attend and participate in the Company’s Staff Meetings and any other staff development scheme the Company may operate.

·  To adhere to all financial recording procedures set up within the department and laid out in the Company’s Financial Manual.

·  To carry out any other duties that may reasonably fall within the remit of the post.

Personal Specifications:

·  All Chickenshed’s H.R. records are maintained and kept secure, up to date and are DPA compliant.

·  Has an up to date knowledge of employment and H&S law and best practice, and CRB changes.

·  H.R. support and advice given to other staff on request.

·  Recruitments are conducted according to Chickenshed policy.

·  Company policy and procedures are developed, monitored and adhered to by staff.

·  Major legal issues / changes reported to the Head of Admin & Theatre Manager & admin support given as required.

·  Excellent working relationships with members of staff

·  Staff training is organized in conjunction with the Management Board.

·  The administration office runs smoothly and the admin team work well together.

·  All other legal and license returns are completed to deadlines.

·  All procedures laid down in Chickenshed’s H&S manual are adhered to – and advice given to staff on H&S issues and compliance.

·  Contributes positively to H&S Committee.

Knowledge & Experience (factual or procedural information needed to perform in the role)

·  Considerable experience within a H.R. department.

·  Ability to draft and review policies and procedures

·  Ability to keep abreast of changes in legislation and a keen interest in legal issues

·  Commitment to and experience of developing best practice for health & safety

·  Commitment to and experience of developing best practice as employer

·  Able to act with discretion and maintain confidentiality

·  Excellent secretarial, organizational and administration skills, including archiving & minutes.

·  Experience of submitting a wide range of license and planning applications.

·  Ability to train, motivate and support an administration team

·  Ability to relate well to children and adults of all ages and from a variety of backgrounds

·  Ability and commitment to working in an inclusive environment and working within a team which is constantly developing accessibility for all.

·  Experience of CRB procedures

·  Experience of supporting Theatre Manager in relation to licensing, planning applications, etc.

Environment

Working in the main administration department and the post holder will be responsible to the Head of Administration.

The hours of work are 24 hours per week over a three day period from 9.30a.m. – 5.30pm.

Due to the nature of your position you may occasionally be required to work additional hour/different days to cover your responsibilities.
