Sponsorship Policy /Policy Number 35

Bluebonnet Equine Humane Society will run a sponsorship program to help foster homes defray the costs of caring for the organization's equines. Theorganization is not financially able to reimburse for feed, standard farrier work, bedding, or other routine costs. Thus, the sponsorship program is designed tohelp foster homes cover these costs.
Procedure
Oversight
Oversight of the BEHS Sponsorship program will be performed by the Officers. A fund will be established by the Treasurer, and monies
will be allocated to this fund as specified by the Board of Directors. Donations can also be made directly to the fund. Sponsorships will be assigned by the Foster Home Coordinator with the below restrictions:
- Provided there is sufficient money in the sponsorship fund to cover the sponsorship, the Foster Home Coordinator may assign a 3-month long sponsorship of $50 per month to equines as needed.
- For sponsorships lasting more than three months or in excess of $50 per month, the Foster Home Coordinator must have approval of one other officer of BEHS.
Eligibility and Limitations
Any foster home is eligible to receive money from the sponsorship fund as long as they meet the following requirements:
- Compliance with all relevant BEHS policies, including Foster, Minimum Standards of Care, Trailering, Reimbursement, and Veterinary Procedures.
- Completion of all required inspections.
- Disclosure of all requested information for documentation purposes.
Expenses covered by the sponsorship program include (and are limited to) boarding costs, farrier work, grain, hay, bedding, diet supplements, fly
control products, and medication. Reimbursement for other costs must be approved by the Foster Home Coordinator.
If donations are made in excess of $50 per month for an equine, the Foster Home Coordinator can allocate all of the donated money be used for that month’s sponsorship. For example, if someone donated $100 to sponsor a particular horse, the foster home may claim the entire $100 in a single month with approval of the Foster Home Coordinator.
To claim a sponsorship, the foster home must fill out a Sponsorship Claim Form and attach receipts. Providing false information is grounds for termination of sponsorship. The Claim Form and receipts must be submitted within 60 days from the end of the month in which the expenses were incurred.
There are three ways a equine becomes eligible for Sponsorship:
1) Funds have been donated specifically for sponsorship of the equine.
2) The Foster Home Coordinator attaches funds to an equine as an incentive to foster.
3) The foster home may apply if the sponsorship account has excess funds available, and the Foster Home Coordinator decides to allocate a limited term general sponsorship. The Foster Home coordinator will then announce to the foster homes that sponsorship funds are available, and the Foster Home Coordinator will make available an application form to claim these funds (Sponsorship Application). Preference will be given to foster homes that have not previously received sponsorship, have fostered the most equines, have fostered for the longest duration, and who have participated in other capacities within the organization.
In the event of a financial emergency for the organization, the Board of Directors has the capacity to rescind sponsorships.
