Approving Clock Hours:

When a student has logged a session with the e*value system, and they indicated you were the supervisor, an e-mail will automatically generate to you. The default e-mail notification is every 2 days.

Within the e-mail there will be a link to the e*value site. When you click the link it will take you directly to the clock hour approval page in the PXDX system.

Here is an example:

The student(s) below have indicated that you supervised his/her role in the Procedures and/or Diagnoses summarized in the log below. These entries have been logged or have been edited and therefore require that you certify the accuracy of the entry.

•If the status of the entry is CONFIRMED and you AGREE with the details, no further action is required.

•If the status of the entry is CONFIRMED and you DISAGREE with the details, or were not the supervisor, please click on the link below to log in to E*Value and reject the log using the PxDx Signoff tool (PxDx > Sign-off).

•If the status of the entry is PENDING, please click on the link below to log in to E*Value to either Confirm or Reject the interaction using the PxDx Signoff tool (PxDx > Sign-off).

Once you have clicked the link and are in the e*value system, you will see a list of drop down boxes. Ignore all of these boxes until you get to the second to last item labeled Status:

Click on the drop down box and choose “pending”. This will pull up only the entries you have not yet approved.

Then hit the “next”box at the bottom of the page.

You will see a table that has the entry information. To the right will be radio buttons that you will click for either “approved”or “rejected”. Once you have clicked a selection, click the “save”button at the bottom of the page.

If you would like expanded information for the entry, clicking on the “procedure”or “diagnosis”will give you the details including the minutes spent, patient demographic information and the role of the supervisor.

A little information on how the entries are made by the student:

They will log the client using an identifier that you agree on, e.g. the first initial and the name of the facility or unit. They may not use more than the first three letters of the patient’s last name as the system cannot contain any PHI.

The patient’s ethnicity, age, and gender are recorded. The student will then choose the diagnosis from the ASHA “Big 9”categories. For example, voice and resonance, receptive and expressive language, swallowing disorders. The diagnosis will also be rated for severity. For each diagnosis they will record what procedure they completed. These are correlated with the CPT codes. So you will see “individual treatment”, “dysphagia treatment”, “speech generating device evaluation”and so on.

The amount of clock hour time is associated with the diagnosis as that is how we manage our clock hour requirements. Seeing the clock hour time requires that you click on the “diagnosis”link in the entry.

The student will also be logging the role of the supervisor and the student during the session. For the students they will choose “observed”, “assisted”, or “performed”. Pretty straightforward. However, the supervisor role is more varied. For example, “the clinical instructor is in the facility and immediately available to assist”is one choice, while “the clinical instructor is in the room and directly involved in the session”is also there. That option is to facilitate our ability to document when we see medicare clients in the clinic. Even though you may be in the room, if your role is to observe, ask the student to use the “observed”supervisor role.

Our in-house clinical faculty members took about three entries to become quick and efficient in checking any components of the entry they were interested in and completing the approval. Average time spent in completing approvals every three days for 4 to 9 students was 6 minutes.

The most important method for making the approval process speedy is to remember to change the “status”field on the first screen, to “pending”. Otherwise you will see all of the entries the student has made and need to scroll through to find the ones that are pending approval.

If you would like to log in to e*value without linking from an e-mail, you would go to the website and use the “log in”function with the user name and password provided.

Once you are in the system, click the PXDX tile at the top of the screen and on the submenu you will see “SIGN OFF”.

Clicking “sign off”will take you to the page with all the drop down lists noted above. Find the “status”box, change it to “pending”and hit “next”.

We have determined that this system makes clock hour management easier in the long run for both students and supervisors but recognize there is a learning curve so please do not hesitate to call with any questions. Also, your student has been instructed to offer as much support as they can as you begin using the system. They have been at it since last August so they are a good resource.
