Information about the department and the post

The maintenance department is responsible for the infrastructure and maintenance of school buildings and grounds. The estate comprises the main school site, swimming pool, sports site and some residential properties, all a short walking distance from each other. A maintenance service is also provided to Bute House Preparatory School which is a short walk from the School.

The maintenance team currently comprises 5 staff; the Maintenance Manager, Deputy Manager/Lead Electrician, Carpenter, General Handyman and Maintenance Administrator/helpdesk. Due to the size of the department, the Maintenance Manager is expected to be hands on, as well as be able to direct and manage the in-house team and external contractors.

The Maintenance Manager will also liaise/work closely with Caretakers, Grounds team, and other key support departments (IT, Theatre technicians, Catering and Cleaning).

The school has embarked on a three phase estates development programme with phase 1 nearing completion (a new sports pavilion and new senior school building). This is therefore an exciting time to join the team and the Maintenance Manager will work closely with the Estate Manager to ensure smooth occupation of the new areas, and throughout the planning and implementation stages of the future phases of the building programme.

Main duties and responsibilities

The main responsibilities of this role are, but not limited to:

·  Maintenance, repair and refurbishment of the School’s estate using the in-house team and external contractors/service contracts.

·  Assigning maintenance tasks to the team and ensuring that ‘maintenance tickets’ are responded to and that requests/repairs are prioritised and completed correctly, using internal (including self) and external resources.

·  Management and testing of the swimming pool water quality and plant

·  In consultation with the Estate Manager, producing, and implementing a Planned Preventative Maintenance (PPM) programme.

·  Maintaining all plant and equipment related to the estate and grounds (such as boilers, water systems, lifts, air conditioning, HVAC, electronic gates, fire safety, gas appliances, electrical, swimming pool, fume cabinets, catering equipment, change bell, CCTV, access control, intruder alarms), and ensuring all appropriate checks, testing and servicing are undertaken by internal or external tradesmen.

·  Trouble shooting on technical breakdowns of plant and equipment.

·  In liaison with the Estate Manager, planning, tendering and managing projects carried out by external contractors or internal staff (generally these are carried out during the school holiday periods).

·  Facilitating external inspections/audits/testing as they relate to building/plant maintenance, and addressing recommendations or required actions that come out of these routine activities such as those contained within the annual fire risk assessment, lift inspections, legionella, gas, asbestos, water quality and electrical testing to ensure that the school is safe and compliant.

·  Ensuring compliance of relevant Health and Safety legislation on estate/maintenance matters including COSHH, Risk assessments, PAT testing, legionella and asbestos and by acting as one of the school Fire Officers, including representing maintenance matters as a member of school Health & Safety Committee

·  Ensuring that arrangements are in place to enable emergency repairs to heating, electricity and water supplies as well as security and fire safety systems throughout the year to ensure the school is operational at all times, including being able to respond to out of hour calls that cannot be dealt with by the duty caretaker.

·  Responsibility for the utilities usage and budget, ensuring that energy and water consumption is carefully monitored and minimised and that the best price is obtained for the purchase of utilities.

·  Monitoring the annual maintenance budget and minor works budgets as delegated by the Estate Manager.

·  Monitoring and review the performance of external service contracts and re-tender as required.

·  Assisting with the major capital projects of the Building Plan through responding to design team questions/information and day to day liaising with on site contractors on services and access.

·  Managing staff including undertaking annual appraisals, performance management and training requirements, with advice from the Estate Manager and HR.

·  Promoting safe working and ensure appropriate PPE is worn when appropriate

·  Participating in the on call rota with team to cover weekend swimming pool checks

·  Ensuring the Maintenance Team and any on-site contractors operate within the relevant Health and Safety requirements.

·  Undertaking any other reasonable duties as directed by the Estates Manager or Director of Operations.

·  The Maintenance Manager will also liaise/work closely with Caretakers, Grounds team, and other key support departments (IT, Theatre technicians, Catering and Cleaning).

The role is varied and while dependant on priorities, projects and budgets, comprises approximately, 15% day to day (majority undertaken by team), 15% hands-on/fault finding/ new installs (lights/access control/CCTV/fire alarm cabling/change bell/LED upgrades etc.), 30% projects/holiday works/managing contractors, 40% admin/management/budgets.

Experience, skills and qualifications

Essential

Experience of working in a maintenance department – PPM, reactive maintenance and install works

·  Multi-disciplined with a bias in Mechanical and/or electrical background (minimum City & Guilds or NVQ)

·  If electrical bias Current 16th Edition (minimum) 17th edition preferred.

·  Experience of liaising with external contractors and service providers

·  Good verbal and written communication skills

·  Experience of managing budgets

·  Sound knowledge and understanding of Health and Safety requirements and legislation i.e. Asbestos, Working at Heights, COSHH, Risk assessments

·  Good IT skills – Outlook, MS Word & Excel

·  Ability to priorities work and requests

·  Ability to set and work to targets and deadlines

·  Live within a reasonable commute from the School in order to respond to call outs when required.

Desirable

·  NEBOSH or other equivalent Health and Safety qualification

·  Pool Operator Course (or willingness to undertake if appointed)

·  CSCS Card or Equivalent Skills Card

·  Experience of working in the education sector

·  Experience of managing a maintenance department.

·  Fire warden/officer experience

Terms of employment

·  40 hour week, generally between 7.00am and 5.00pm (early shift 7 to 4 or late shift 8 to 5), Monday to Friday with a rota to cover weekends. Some flexibility will be required to cover emergencies and ‘out of hours’ working.
