Pupil Activity Permit
Application “RENEWAL” Procedures
Effective January 1, 2014
Beginning January 14, 2014, ODE is requiring online licensure/permit renewal. Teachers, administrators, paraprofessionals, coaches, substitute teachers, and substitute paraprofessionals will be required to:
- Apply for a credential, new and renewal, online
- Pay for a license/permit online (currently accepts credit cards only)
- Send an application electronically to the designated District Signer for approval
- Decrease the time to get your license/permit issued
Directions
1. Using Google Chrome, or Internet Explorer OS10 or older, as your browser (we are hearing the electronic application does not work with the updated Internet Explorer OS11), go to : www.education.ohio.gov (use a computer – currently the licensure link from this page does not support devices)
2. At the very top of the page, click on the word “SAFE”
3. PRIOR TO CREATING A SAFE ACCOUNT, CLICK ON THE CHECK SIGNUP STATUS and follow the instructions to see if there has ever been a SAFE account created in your name. If the ODE Response is that You do not have a SAFE account. At this point you will need to click on SAFE Sign up
If you get a message that You already have a SAFE account, and you do not remember your login or password, click on the Reset Password button and follow the steps to have your password reset. Typically, within 1-10 days you will receive an email from The Ohio Department of Education that will provide your account name (login name) and will give you a NEW password that you will be prompted to change after entering.
(Save your login information somewhere that you will be able to find for your next renewal.)
If you get a message saying you do NOT have a SAFE Account click on the SAFE Sign up button:
You will get the following window.
Complete the fields as directed and click next, and keep completing fields as directed until you get a message that you will be sent an email for confirmation.
4. After creating a SAFE account, you will be directed to your personal email and will follow the instructions within the email. Within that email will be a code and a link to the ODE SAFE account, clicking on that link will automatically enter the code in the appropriate box, then you will follow the directions within that screen (sorry, no additional screen shots of that as yet).
5. You will then go back to ODE and LOG IN (using the login and password you just created) and click “ODE.CORE”
6. Then click the “My Educator Profile” and complete the personal information requested
Clicking on the My Educator Profile Apple, under the Educator License will take you to your MY INFORMATION screen.
When completing your Personal Information, you will notice that the indicator above your address displays as the School or District Physical Address – you will NEED to edit this by clicking on the Pencil on the right side of the window. Kettering Schools address is:

Then you will NEED to enter your Home Address by clicking on the Add New Address and re-entering YOUR information. Your Home Mailing Address should become your (Primary) address.
Go down the rest of the page and check that everything else is still correct, your phone and email address. When done you will go back to the top of the page and click on Save/Next. If there are indications of “errors” you will see red comments telling you what needs corrected. When all corrections are completed, you are ready for the next step.
At some point, you may have a window pop up asking 3 questions, one of which is “Are you currently an e-signer?” You must answer THIS question NO.
7. When RENEWING an expired/expiring License/Permit, under the “My Educator Profile” tab at the top of the page, click on “My Credentials”
8. When RENEWING a current Educational Aide Permit/Pupil Activity Permit, you will click on the My Credentials option from the drop down list of the My Educator Profile. If your most recent License is not readily visible, you can change the “sort order” under the Credential Summary. Having it sort by “Issue Date (Descending)” will display your most recent license at the top of the list.
Go to the Select Action drop down tab to the left of the license you are RENEWING. Click on the drop down arrow and choose Renew.
Make sure the YEAR is THIS YEAR - 2014 (remember, licenses run from July 1, of one year through June 30 of the expiration year. i.e. Effective Date: July 1, 2014 and Expiration Date: June 30, 2015 – this allows your permit to be active for a full school year).
9. Applications:
Educational Aide Permit / Pupil Activity Permit:
Please click on the Mail to Address School District to have it mailed to the School District.
To choose the school district click on the “magnifying glass (search)”.
Type Kettering in the Name bar:
Choose Kettering City
10. Next you will complete the Background and Signatures Page:
Again, the signature will be Kettering City, you can get this by clicking on the Select Organization button
**In the Legal Questions, IF you answer YES to ANYTHING you MUST provide an explanation. (This will need to be explained every time you renew. You may want to keep a copy of your explanation to use each time you renew.) INCLUDE the year of the conviction, the nature of the offense and the court location where the case was heard. (Not being honest and doing this will result in your license application being pulled and investigated by the Office of Professional Conduct.)
Applicant Signature (in the bottom left of the window), you must click on the box indicating that you have been truthful.

Complete the payment process and be sure to save a copy of the payment/confirmation number.

(Since the latest ODE Updates, it seems that the system is causing payments to get caught in a “glitch”. IF you DO NOT get a notification that your application is now being PROCESSED, you may need to go back to “Apply” your payment.
To do this, you will want to go back to the Educator Profile button at the upper left page of the ODE Window, click on the drop down and go to MY APPLICATIONS. IF your payment needs applied, it should open up to the below page.)
You have now entered your payment information and need to apply your payment to your License/Permit request:
IF you have to go back into your application and have the payment applied, after doing the above step, you MAY get the following window:
IF you have had to go back in to your Payment Window to apply your payment, once you click on the Yellow button of the overlapping window, you should get a message saying that your application is now being processed.
13. If completing this from home, please email me at to let me know that you have completed all steps of your Application Process so that we can watch for it to request an Electronic Signature.
14. Your application is now being processed and sent to the Director of Human Resources at Kettering City Schools for signature and finalization.
