SEAGIC Update

SEAGIC members discussed/reviewed most recent IC recommendations to be submitted for future release. Issues discussed included:

  1. Removal of test accommodations; will not be embedded in IEP documents, but will continue to be offered as a simple form. Note that the form is NOT regulatory and use of the form will be a district decision.
  2. Caseload summary lists will pull from the most recent, locked IEP; the logic will NOT allow overlapping IEP’s.
  3. Ensure all dates are pulling in and fielding consistently.
  4. Recommending an evaluation date header to address students that do not qualify for services or revocation of services.

Additional discussion:

  1. SEAGIC will meet again in February. Critical discussion will focus on transfer of records. A consistent issue is the duplication of records that import, resulting in hundreds of documents transferring. The logic needs to allow documents to import and tagged to a specific year in an organized manner. The goal is for the logic to be established by the end of this school year in order to begin the 2017-2018 school year.
  2. Private school guidance is requested to streamline tracking processes. It was noted that districts vary in the method they use to track. Discussed the need to develop a consistent method in IC to track and create Ad Hoc reporting in order to determine the exact number of private school students, services implemented, students that did not qualify or consent was not given, as well as re-eval dates. The SEAGIC team has asked districts to share their current procedures in addition to any recommendations.
  3. Autism eligibility was discussed as a possible point of concern regarding the communication piece. The most recently updated DSM 5 may require additional review of the state eligibility form. This will be referred to Sammy Lambert and Gretta Hylton for guidance and recommendations.

Child Count Discussions:

  1. An error was noted in regard to race; if you have experienced any issues related to incorrect race information flagging an error on your extracts, a ticket has been put in to IC to resolve before submitting child count.
  2. If you are having any issues with disability area NOT fielding on the current IEP, make sure that the consent form is unlocked before updating the eval information in the IEP. It’s unclear why IC logic requires the doc to be unlocked to pull in, but this has been the consistent work around for that issue.
  3. Joe McCowan will be presenting at CEC on Tuesday, November 22nd at 8:30 to update on common child count issues and solutions. This may be beneficial for staff to attend for more assistance just prior to child count submittal.
  4. Child count is due by December 15th, including personnel report and total number of child count.
  5. SEAGIC members for the 2017-2018 school year will be considered. The team is requesting that each co-op nominate a member to represent their region.
