What: HAGY Gator Holiday Invitational Swim Meet

When: Saturday, December 14, 2013

Warm Up: 9:00 AM for the swimmers in the first 32 events. Warm-ups for the remaining events will start after event 32.

Meet Start: 10:15 AM

Where: Hagerstown YMCA

Events: Swimmers may enter up to four individual events. The complete event listing is included. The cost per entry is $4.50 for individual events. Entries must be received by December 8, 2013. NO DECK ENTRIES WILL BE ACCEPTED. NO CHANGES CAN BE MADE THE DAY OF THE MEET.

Total Swimmer Limit: The meet director reserves the right to limit entries to 400 swimmers to stay within the meet time constraints. Entries will be taken on a first-received basis.

Awards: Medals will be awarded for the top 3 finishers of each event. Ribbons will be awarded to the 4th through 10th place finishers. Heat winners will receive ribbons.

Rules: Applicable YMCA/USA rules will govern this meet. Age is determined by December 1, 2013.

Facility: The pool is a six-lane, 25-yard pool with electronic timing, touchpads, and a six-lane alphanumeric scoreboard. Seeding will take place in the gymnasium. Please bring a chair to wait in the gym between events.

Programs: Programs for this event will be available for nominal cost. This program will include the listing for the meet entries.

T-Shirts: T-shirts will be sold the day of the meet. The vendor will be making shirts the day of the event.

Concessions: The Hagerstown Swim Team Parents association is pleased to provide a well-stocked concession stand throughout the event. Please note that all food and drinks must remain in the concession area. No food or drinks will be allowed in the gym, locker room or pool area.

Swim Vendor: A swim gear vendor (Metro Swim Shop) will be on site.

Entry submission: Teams should submit their entries by email using Hy-Tek Team Manager. Unattached swimmers should email swimmer’s name, BD, events and entry times. All entries should be sent to the Hagerstown YMCA Swim Team Board at . Entries must be submitted no later than December 8, 2013.

Payment: Teams should submit payment for entries using one check payable to HAGY STPA and send this by December 8 to:

Volunteers: In order to run an efficient meet, we are requesting that each team provide officials and timers to work each session. A volunteer form is enclosed to be submitted with your entries. Each team must provide a minimum of 2 timers per session. In addition, each team is responsible for providing an adult to supervise their swimmers in the gym and to make sure they get to the Clerk of Course on time. Participants in the 400 IM events must provide a timer for each lane. Participants in the 500 Free events must provide a timer and a lap counter for each lane. No extra MSM staff will be available to time or count.

Directions: The YMCA is conveniently located in the north end of Hagerstown and accessible from both interstate 81 and interstate 70. There is sufficient parking for over 200.

From I-81: Take exit 9 (Maugans Avenue). Traveling south on I-81, turn left onto Maugans Avenue. Traveling north on I-81, turn right onto Maugans Avenue. Travel to the third traffic light (Marsh Pike, bank on the right) & turn right. Go to the right when the road ends & travel to the third traffic light (Eastern Blvd). Turn left onto Eastern Blvd & the YMCA is on the left.

From I-70: Take exit 32B (Rt. 40 West). Travel on 40 west to the third traffic light at Eastern Boulevard (approximately 1.5 miles). Turn right on Eastern Boulevard and travel approximately 2 miles. The YMA is on the right.

Waiver of Liability: I acknowledge that there are inherent risks and dangers

associated with swimming, I understand that the YMCA of Hagerstown, Maryland, Inc. (YMCA) assumes no responsibility for injuries which I, my spouse/partner, or my/our minor children may sustain as a result of my/their physical condition, my/their use of any facilities, or my/their participation in any activities, programs, exercise, or use of equipment. I acknowledge on behalf of myself, my spouse/partner, and my /our minor children and or heirs that I assume the risk of any and all injuries, illness, death, loss of damage which may result from any of the foregoing. I hereby release and discharge the YMCA, its agents, servants, and employees from any and all claims for injury, illness, death, and loss of damage which I, my spouse/partner, or minor children may suffer as a result of my/their physical condition, or improper use of equipment, this program, the use of any facility or participation in activities.

Media Release: I give permission to the YMCA of Hagerstown, Maryland, Inc. (YMCA) to use indefinitely, without limitation or obligation, photos, slides, film footage, or video recordings which may include my, my spouse/partner or, my/our minor children’s image or voice for purpose of promoting or interpreting the YMCA and it’s programs. If I prefer to not allow my, my spouse/partner or the above registered individual(s) images be utilized, I will provide in writing a notarized request within 10 days of this registration.

Loss/Damage of Personal Property: I understand that the YMCA of Hagerstown, Maryland, Inc. (YMCA) is not responsible for personal property lost or stolen while I, my spouse/partner or my/our minor children are using the YMCA or other facilities/property used by the YMCA. It is my responsibility to notify the YMCA of any incidents and contact the police myself to report and stolen property or damage.

It is further agreed that I, my spouse/partner will assume full responsibility for all damage done by the registered participant to the property of the YMCA, vendors or other participants.

I have read and acknowledge the waivers, releases, and conditions set forth in the Registration and I am in agreement with the terms and conditions.
