JOB TITLE:FINANCE MANAGER (GROUP FINANCE)
OVERALL AIM:To maintain effective financial control of the UK Charity and that all aspects of group financial processing and reporting are delivered to time and to standard
OBJECTIVES:
- Provide the Board of Trustees, Senior Management and relevant staff with reliable and timely financial information and analysis of the Group and the UK Charity
- Contribute to the development of the TREE AID Group financial systems and procedures
- Maintain and develop the UK Charity’s finance and human resources systems and procedures and policies appropriate to its needs
- Support the Director Finance & Resources with ensuringthatthe UK charity meets all legal and statutory requirements and follows organisational policies
- Provide the secretariat to the Board of Trustees in their governance of the Charity
- Ensure the continuing integrity of TREE AID’s UK financial records and internal controls
RESPONSIBLE TO:Director Finance & Resources (DFR)
RESPONSIBLE FOR:Finance Assistant (Group Finance), Finance Team Volunteers and Interns
MAIN TASKS:
1Provide the Board of Trustees, Senior Management and relevant staff with reliable and timely financial information and analysis of the Group and the UK Charity (55%)
1.1Present regular and timely management information, including monthly group management accounts and quarterly financial reforecasts, subject to DFR approval.
1.2Manage the effective and timely annual group budget setting process.
1.3Develop and produce UK and Ethiopia team financial management reports.
1.4Assist the DFR in the preparation and upkeep of medium term financial projections.
2Contribute to the development, documentation and implementation of the TREE AID Group financial systems and procedures(5%)
2.1Assist the DFR with the development, documenting and implementation of TREE AID Group financial systems and procedures.
2.2Ensure all teams are aware of financial reporting timetables, and liaise with them regularly to ensure deadlines are met.
3Maintain and develop the UK Charity’s finance and human resources systems and procedures appropriate to its needs (20%)
3.1Development and implement standardised and sustainable systems that are documented and employed in the UK and Ethiopia, and are updated as appropriate.
3.2Coordinate data input from the Fundraising, Operations and Ethiopia branch information flows that support project and finance reporting, ensuring that information is up to date and accurate, in collaboration with the Finance Manager (Project Finance).
3.3Act as liaison between the UK Finance and Fundraising teams.
3.4Ensure that UK restricted funds are properly managed, restrictions complied with, and funds reconciled.
3.5Oversee the transfer of cost recovery funds for UK contracts between funds in line with project budgets in liaison with the Operations team.
3.6Ensure that UK Fundraising’s donor records are reconciled to the financial records promptly each month.
3.7Monitor the UK treasury function reporting regularly to the DFR.
3.8Ensure that foreign currency transactions are carried out cost efficiently, and in accordance with Group policies.
3.9Maintain an efficient and effective Human Resource administration function for the UK and Ethiopia, to include:
- annual review ofemployment policies and documentation;
- personnel records;
- supporting recruitment and induction of staff and volunteers;
- administration of staff appraisal and annual job plan procedures;
- payroll processes;
- pension arrangements.
4Ensure that the UK charity meets all legal and statutory requirements and follows organisational policies (10%)
4.1Manage the production of TREE AID’s annual report and accounts including managing the audit process.
4.2Support the DFR with ensuringthat the UK Charity meetsCharity Commission and Companies House compliance and reporting requirements.
4.3Ensure compliance with organisational policies and procedures within the UK Charity.
5Provide the secretariat to the Board of Trustees in their governance of the Charity (5%)
5.1Provide support to the Board of Trustees, Finance & General Purposes Committee and other committees and working groups as required.
6Ensure the continuing integrity of TREE AID’s UK financial records and internal controls(5%)
6.1Ensure that UK and Ethiopia financial records are structured and maintained to enable accurate reporting of expenditure and strong financial control.
6.2Perform and report to the DFR on internal control and audit of the UK Charity to ensure compliance with financial procedures and regulations.
7Other
7.1Coordinate closely with, and support the work of, the Finance Manager (Project Finance) on a day to day basis, and have a good understanding of that role.
7.2Carry out such other tasks and responsibilities as directed by the DFR.
