Policy Statement

  1. Contracts: All contracts must be approved by the Executive Committee and signed by the Executive Committee Chair, Vice-Chair or Executive Secretary.
  2. Donations: All donations of money or in-kind must be channeled through and communicated to the Fund Development Committee.
  3. Monies collected and expenses: All money collected for the purpose of sponsoring the show should be sent to and tracked by the treasurer. The treasurer has the authority to approve all expenses for payment within the adopted budget. Each committee will receive $1000 of miscellaneous expenditures within their budget. For non-budgeted expenses for a committee that go beyond the $1000 or for any single non-budgeted expenditure of $1000-$2500, approval is needed by the Executive Chair or Secretary. Any single, non-budgeted purchase over $2500 requires majority Executive Committee approval.
  4. Payment of bills: For repayment of any budgeted items purchased by committee members, a complete, signed voucher with a receipt must submitted to the treasurer. Blank vouchers will be available on the volunteer website. Farm Technology Days Inc. is tax exempt and the tax exempt number should be used for purchases. The tax exempt form will also be available on the volunteer website.
  5. Travel expense reimbursement: Travel for Dane County Volunteers to the Portage County Farm Technology Days show will be reimbursed as follows; Anyone driving to the show will receive $100 in mileage for travel to the show and back, every effort should be made to carpool: For every day spent at the show, volunteers will receive a reimbursement of $24 in meals and $6 for admission. Vouchers for reimbursement will be available at the volunteer website.

In order for any other out of countyor in-county travel by any volunteer to be reimbursable, it will need approval by the Executive Chair and Secretary.

  1. On-site vehicle operation: All operators of on-site vehicles(utility vehicles, golf carts, and other farm and non-farm vehicles) before, during and after the show must be 18 years or older and have been properly trained according to the polices of Wisconsin Farm Technology Days Inc. The training will be coordinated by the grounds committee in cooperation with the Volunteer Coordinator.
  2. Food-stand criteria:
  3. Non-profit organizations that operate in Dane County will be considered before non-profits that represent other geographical areas
  4. The Food Committee will solicit food service applicants using the selection criteria and process approved by theExecutive Committee
  5. Food Stand workers must be 16 years old.
  6. Food stand workers must sign an agreement that states they will abide the rules and regulations of operations set forth by Food Committee.
  7. Eligibility is open to all persons, without regard to race, color, ethnic background or economic situation and will not operate on a segregated basis.
  8. Ninety percent of the net profits from food sales will be divided among the groups that work in the food stands as payment for their services. The amount each group receives will depend on the number of workers they provided and number of hours those workers worked.
  9. Ten percent of the net profits from the food sales will be divided among non-profit groups that worked for other parts of the show (i.e. Parking and grounds). This amount could be supplemented, at the discretion of the Executive Committee, depending on the financial success of the show.
  10. Meals for volunteers – Executive committee?
  11. Volunteer admission :Volunteers will be supplied with a ticket to the show by their committee chair. The show will not reimburse volunteers for show entrance.
  12. Net profits of the show: Net profits will be awarded in grants to community groups for projects that involve youth and/or agriculture.
  13. Use of UTV’s in Tent City: One UTV per company for those companies in Field Demo & the Ride and Drive areas only. Additional UTV’s must be kept outside of Tent City. Grounds Committee will be responsible for placing proper signage on those units to identify which company is using them.
