JOB TITLE:Receptionist/Communications Officer
REPORTS TO: School Business Manager
GRADE:KR5
- PURPOSE OF THE JOB:
a)To be the first point of contact for all members of the school community and visitors to the school.
b)To represent the school as its “public face”.
c)To assist in leading effectively all communicationsystems between all members of the school community and other agencies.
d)To promote the school positively within the local and wider community.
e)To provide general clerical support as required as part of the wider administration team.
2. PRINCIPAL ACCOUNTABILITIES:
To uphold all school policies and maintain confidentiality at all times.
a)To provide support to staff, pupils and their families, working closely with other members of the school team as appropriate.
b)To support and comfort sick children including organising first aid and contacting parents when necessary.
c)To act as “front of house” and first point of contact, giving a calm and professional service at all times, welcoming visitors and providing appropriate levels of hospitality.
d)To keep the school diary (paper and electronic) up to date and current.
e)To upload information to the school website.
f)To liaise with teaching colleagues to improve content on the website.
g)To deal with and take appropriate action for all post, e-mails and telephone calls received to the school, distributing to others as appropriate.
h)To anticipate, prepare for and provide the necessary communication essential to the successful organisation of all school events, eg photos, parent evenings and concerts, etc.
i)To liaise and be pro-active in contacting the local media with details of all significant events of interest to the local or wider community.
j)To support other members of the school staff in developing community cohesion.
k)To update school publications in consultation with the Headteacher or his representative.
l)To administer the electronic parent communication system.
m)To be responsible for ensuring that all registers are completed and saved to the SIMs system and all children are accounted for.
n)Toprovide administration and clerical support for attendance and office procedures relating to register boxes, including passing money to the relevant member of staff (eg for school trips).
o)To deal with requests for holidays according to school policy and enter relevant data in SIMS Attendance.
p)To ensure all late pupils are registered for school dinner or packed lunch and numbers of late orders taken to the kitchen.
q)To keep up to date with appropriate technology.
r)To participate in training and performance development as appropriate.
s)To carry out any other duties as directed by the Headteacher.

Minimum
Qualifications
/ GCSE or equivalent English and Maths essential.Experience / Reception/Front of house.
School office experience, working with the public and dealing with confidential issues essential.
Skills and Abilities / Excellent inter-personal skills required.
Must be a team player.
Must be proactive, flexible and able to deal with all stakeholders calmly, sensitively and at the appropriate level.
Must be able to work independently and use initiative.
Must be well organised and able to prioritise.
Ability to multi task.
Keyboard skills.
Ability to work under pressure and remain calm and efficient.
Knowledge / SIMS.net (desirable).
MS Word and Excel.
