Supervisor Checklist for Temporary Employees

Purpose: This checklist will assist you in effectively bringing a temporary employee on-board to the University. Please note that all listed activities may not be applicable.
Instructions: Review the relevant items, complete and check-off activities. Keep for your records.

Pre-Arrival
¨  Call or email to remind temporary employee to bring two forms of ID on the first day and to bring their license plate number.
¨  Set up computer account and e-mail account,
¨  Prepare workstation with necessary supplies
¨  Arrange for office equipment (phone, printer, etc.),
¨  Inform the staff of the new team member; explain the role, and how it will support existing team
¨  Appoint an experienced, star employee to act as a Mentor and discuss the purpose of the role
First Day Arrival
¨  Welcome the temporary employee
¨  Bring employee over to HR (King – RM 222) to complete required paperwork
¨  Walk temporary employee to the ID Office to ensure photo ID is obtained (if required)
¨  Introduce to team members (Mentor and management team).
¨  Inform of the free campus shuttle service
¨  Clarify unofficial office do’s and don’ts
¨  Explain importance of ID badge.
¨  Communicate the work schedule
¨  Explain the employee’s rate of pay, pay dates and how paid
¨  Show online Student\Faculty\ Staff Directory.
¨  Give tour of building (work facilities/ restrooms, break room, copier, HR).
¨  Share any other necessary and advantageous information.
¨  Explain operation of office equipment:
Phone -voicemail and standard message, and provide phone directory.
Computer: user name and password, email account and internet usage.
Other equipment: copier, fax
¨  Explain communication channels (bulletin boards, websites, Campus News and department website).
¨  Discuss appropriate office dress, work clothes/uniform, etc.
¨  Discuss job responsibilities and communicate performance expectation
¨  Explain office policies and office security.
¨  Discuss computer policy and computer security
¨  Provide office manuals and other reference information
¨  Discuss workplace safety and inform of emergency exits
¨  Direct the temporary employee to the HR New Employee Website at http://hr.uncc.edu/new-employees and point out the following sections:
o  Dining on Campus
o  Disability Services
o  ITS Help (Help Center @ 7-3100
o  News (Campus News and Upcoming News)
o  Policies: Smoking policy and Campus Smoking Locations
o  Services:
49er ID card, Atkins Library, Mail Services, Parking Services , Campus Map, Safe-Ride, etc.
