Marketing/Administrative Assistant

PRIMARY RESPONSIBILITIES OF THIS POSITION

·  Assist with assembling & completing proposal qualification packages to obtain new clients and projects for the Firm including production of marking documents & marketing correspondence

·  Maintain all social media sites and manage company website.

·  Create job related PowerPoints for Company presentations and interviews with prospective clients

·  Maintains all marketing information systems (client files, resumes, project description files, mailing lists, etc.)

·  Draft, edit, and/or transcribe correspondence, memorandums, meeting notes, field reports, proposals and/ or specifications, etc. in accordance with office standards for entire office staff (this includes typing, proofreading and formatting).

·  Responsible for filing, photocopying and other general administrative tasks.

·  Take incoming phone calls on a multi-line system and screen/ route to the appropriate person and/ or voicemail.

·  Monitor and redirect main line voicemail messages.

·  Greet and assist all guests, visitors, clients, etc. upon entering the building.

·  Special projects and assignments, as required.

·  Prepare/ coordinate outgoing mail via USPS, Optima Shipping and courier.

·  Review, date stamp and distribute incoming mail in accordance with office procedures.

·  Prepare transmittals for shipping.

KNOWLEDGE AND SKILL REQUIREMENTS

·  Strong computer skills, including proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint, Adobe Creative Suite, Word Press).

·  Able to receive and apply constructive criticism.

·  Ability to type a minimum of 60 wpm (minimum) with a high degree of accuracy.

·  Strong verbal and written communication and interpersonal skills are a must.

·  Pleasant and professional demeanor.

·  Illustrator/Photoshop Experience a plus.

·  Ability to multi task, prioritize and meet deadlines.

·  Ability to work well under pressure.

·  Strong organizational and time management skills.

·  Previous experience in a professional environment preferred.

·  Previous experience working for a Marketing or Design firm a plus.
