CALL TO ORDER

The purpose of this meeting is to review the potential to use Cheryl Harris’ company CRG, Inc. to assist the Florida West Coast chapter in marketing efforts related to the four seminars in the coming season.

Explained about the Society and some of our challenges:

Reverse declining membership

Introduce ourselves to newer companies

Get into newer areas

Cheryl said they way they work with their customers:

Work with the Board to determine the needs whether they are organized to no organizations.

They helped develop a national certification in the construction industry.

Her background is in education and understands the needs.

Approach:

How do we get them in the door to see what we are about.

Use a focus group approach to bring people together.

She would have to do research to compile a list/database of potential “names”.

Craig showed the program for the current year to Cheryl. Discussed the seminars and how to increase membership from them.

Strategy:

She believes that a combination of mail, e-mail and fax is how to get focus.

Mailing lists came come in around $500.00 each.

Get vendors to help sponsor the mailings.

Cheryl said that most of the money comes from the sponsorships for the seminars.

She said they are capable of finding the sponsors.

Financial:

Discussed the length of contract.

She is willing to work a “cafeteria” approach to services.

The “contract” is her estimate of the cost of the project divided by 12 months.

The “per hour” version will be too expensive to get everything accomplished.

Next Step:

Come up with an action plan

Determine the tasks we want them to perform for the seminar approach.

Get budgetary numbers on breakout for seminars.

Determine what information or images are available from Society.

Action Items:

Cheryl will review her proposal and tailor it to meet the items we discussed.

Hold a conference call at some point within the next week to finalize and accept or reject the proposal.

Ask Jerry if he has some cost benefit analysis of the break even point of number of attendees for each

seminar.

Schedule:

Make decision expeditiously.

Design and distribution of mailings needs to start ASAP to meet November seminar target.
