Minutes of the Circulation Services Committee Meeting, January 20,

1. Changes to the minutes of the previous meeting Nov. 18, 2009: Lisa Doherty(Architecture) was present at that meeting not absent.

2. Business Arising:

Symphony upgrade: Everbody was happy with the call number search function that now goes to the actual call number that was searched.

The 6 month overdue notices were sent according the wording that was agreed upon. The claims returned notices will go out soon. Not all the libraries wanted this notice and the list was going to get updated.

Neil Allen attended the Steering Committee of library Council investigations of committee relevance.

3. AODA implementation

a.What is it?: Accessibility for Ontarions with Disabilities Act and the customer service standard.

B. Bonnie Horne said that she went to the website and printed out helpful ideas and distributed that to all employees. Pratt has an accessibility work station. Other libraries do retrievals and photocopying but encourage patrons to call ahead for the service. Lari will do more follow-up on this issue at the next meeting.

4.Xmas dates

Things did not work out well with some of the campus libraries conforming to the Robarts model this year. One solution suggested was closing the calendar the first week in January.

5.T-cards issued for those who are invited to register in January will not have borrowing privileges in December. The cards are useful for other functions such as housing and employment .

  1. Holds, InTransit.

In a few instances books are returned to the library where hold was placed instead of the owning library. An e-mail is going out immediately to the patron to pickup the book before it is returned to the owning library and in transit status doesn’t happen. This happens when system/group hold is placed incorrectly.

“Request item” cannot be used during the holiday period since there is no staff to monitor the requests.

DIRBs cannot use request item.

Only the “last name” field is used in the patron records for the name.

Beverages are now allowed in Gerstein and Robarts in closed containers.

7. Other Business

Most libraries back date items left in book drops.

HOLDS are kept for 5 business days
