JP made a motion to approve March Minutes, 2nd by Craig. Vote called. Motion carried, 1 abstention.

  • Review of Retreat Goals
  • Women and soccer (Brenda)

Brenda would like the club to host a round table about female participation in sports on the island. Would like to reach out and invite other clubs- baseball, basketball, lacrosse, ect. Coach Mo is assisting on this topic. Brenda is also planning some fun events around the women's world cup.

  • Calendar (Ian, Johannes and Liming)

Calendar has been up and running for a while. It is working great!

  • Organization Chart (Ballan and Bill)

Ballan is not going to run this topic now since he stepped down from the board. Job descriptions were updated at the AGM. Good progress but could work on them a little more for next year. Wants to also get a New Board Member 101 idea going. Having notebooks/packets for all incoming board members.

  • Review process (JP and Brenda)

JP and Brenda have not done much work on the senior staff review process, but are committed to working hard on this.

  • Club Goals (JP)

DOC has been working hard all year on coming up and discussing club goals. Ian and JP will continue to work on these.

  • Coach and Team Updates (Phil)

We do not have consistency in the club for communication. There are a few different programs being used: snap chat, shutterfly, ect. Has been collecting feedback from coaches, team managers, and parents. Trying to get a feel for what is working and what isn't. We need to work on getting a specific structure for coach/ team communication.

  • Plan for Future: Fields and clubhouse (Craig and JP)

Working towards having a home of our own. A lot of discussion on the new land Parks has acquired and looking at getting some land for our own. Craig had been diligently looking for land. The Sakai property grant did pass. We need to have a representative from the club at that table. Ron? Also what about having a snack shack or table for games on sat? Ron is going to look into some possibilities.

  • Fun (Johannes and Brenda)

The fun committee has held 2 get together a so far. More to come!

JP is working with Joahannes to have a page on the website for Pick Up games on the Island. Also having more fun get togethers. Ian has been emailing the members with the 3 high school game schedules. A lot of families have been coming our and watching soccer!

  • Participation (Brenda and Ian)

Brenda told a story of a young woman whom Brenda coached a few years ago. Never went select, but stayed committed to soccer and the club. She is still having a blast playing rec, pick up games, and now helping coach.

  • Fundraising (Bill)

Bill wants to get a yearly specific plan for the fundraising opportunities and goals. Has already completed sponsorship info and different tiers. Positive feedback from the sponsors already! Thanks you cards are on the agenda to be made!

  • VP of Competition (Ron Piland)
  • Has a better idea of his role on the board. Has met with Ballan a couple times. Ron will be stepping up as the liaison between BIFC and Parks.
  • Secretary (Clancy Jacobsen)
  • No Report
  • Treasurer (JP Werlin)
  • Financial report sent out. We are ahead with income- mainly because of the huge increase with Spring Rec. As well as added fundraising/sponsorship.

Liming has finished and sent off Tax Return.

We will be looking into doing an independent audit. Anyone have some recommendations please email JP.

  • Fall registration is now open.
  • VP of Select Program (Craig Heisinger)
  • Select Jersey kits: need communication to go out to club members giving them a heads up.

  • Jeff will be our NSYSA representative for next meeting
  • Spring Soccer Update: finalizing the schedule with Ian.
  • Might have found a replacement. More to come!

  • Fundraising updates
  • One Call For All application is in.
  • Sounders Tickets for Aug 30th 2pm vs Timbers. We pay $21 per ticket and then get reimbursed $3 per ticket after the game, this is Sounders new policy. Not sure why! We will have 242 tickets on hand. How do we want to sell them?
  • Sponsor update- some new sponsors in the mix, more to come. Will talk with Arnie, Blackbird, Westside, and Pint and Plate.
  • Team Photos through OPG or NSP- no professional photos again this year.
  • “this is not the World Cup” sign to be made and put at BPP- Craig is going to ask Parks if we can put this kind of sign on the fence at BPP.

  • Awards night Thursday April 30th. More info to come.
  • Still a couple gaps in spring soccer coaches. Is working on filling them.
  • Technical Director (Phil Avison)
  • Over 100 kids have registered for Select tryouts!
  • Still working on bridging the gap between Rec and Select. Hoping to have a team at every level u11-15.
  • Director of Communications (Johannes Happonen)
  • Photos of Board Membersfor webpage- still missing a few! Please email Johannes your photo.
  • Kleen Kanteen and check $2600. Needs to finish paperwork. Will sell Kanteens at island cup.
  • Ferry and Print ad to promote tryouts up. Also road signs will be printed and put up ASAP.
  • New Camera that anyone can ask to borrow to take club photos.
  • Going to check into rights for women's World Cup to show at pavilion.
