JOB TITLE: Support Services Coordinator - Outpatient Clinics
JOB ACCOUNTABILITY & OBJECTIVES:
This exempt position works under the supervision of the Chief Clinical Officer; trains and supervises clinical support staff in clinics; responsible for clinic functions such as record keeping, data reporting and purchasing. May act as Custodian of Records for outpatient clinics under direction of Director of Quality Improvement. This position is responsible for overall oversight of the Clinic Support Specialists and sets the tone for good customer services and support of clinical staff. This position also maintains positive provider relations with community organizations, and provides internal and external customer service consistent with PCA’s goal of excellence and professionalism.
RESPONSIBILITIES:
ESSENTIAL FUNCTIONS:
- Trains new clerical employees in performance of clerical functions.
- Responsible for management of clinical support functions.
- Provides technical assistance and assists in resolving clinical and record maintenance problems.
- Establishes and supervises the review of client records and files in compliance with guidelines.
- Coordinates with other Clinical Support Services Coordinator the supervision, training, and direction of clinical support staff.
- Maintains office organization and efficiency.
- Responsible for monitoring clerical staff activities to ensure policies and procedures are followed and deadlines are met.
- Assists with cross training of staff to assure all clinical support functions can be completed when staff are absent.
- Identifies, develops, and recommends office procedure changes as needed with theclinicaldirectors.
- Provides leadership in the development and maintenance of the Clincial Support Manual.
- Works with other managers to coordinate and streamline overall procedures.
- Prepares itineraries, schedules of events or staffings, and maintainx calendars to remind supervisor and/or staff of upcoming deadlines or events
- Composex, typex and editx various documents, including letters, memoranda, reports, forms, training materials, etc.
- Establishx and maintainx various computerized and/or paper files, records or logs and retrieves information as needed
NON-ESSENTIAL FUNCTIONS:
- Performs other duties as assigned
KNOWLEDGE, SKILLS & ABILITIES:
- Ability to type 45 wpm and use transcriber
- Thorough knowledge of secretarial practices and office management procedures and equipment
- Ability to establish and maintain effective working relationships with staff and the public and to deal with public relations problems courteously and tactfully
- Knowledge of grammar, punctuation, spelling
- Good verbal communication and writing skills
- Knowledge of a variety of computer programs and functions, including Microsoft Word and Excel
EDUCATION & EXPERIENCE:
- Two to four years clerical experience
- High school graduate or equivalent
- Supervisory experience is required.
SPECIAL CONDITIONS:
- A criminal background check is required every 5 years.
- Adult and Child Maltreatment Registry background checks are required.
- A drug screening and TB test are required.
