Meeting Minutes

Thurs, November 5, 2015

The quarterly meeting of the Willow Grove Homeowners Association was called to order at 6:35 pm on November 5, 2015 at Dublin Justice Center by Chris Conrad.

Present

Board Members: Chris Conrad, Christina McNutt, Jason Peterman, Michele Croce Dana Burtanger (resigned) and BJ Myers, Patterson Merkle Management Company

Approval of Minutes

The minutes of the previous meeting were approved by Christina McNutt and seconded by Jason Peterman, all approved as distributed.

Manager’s Report

Review of financials.

Discussion of Manager’s Notes by homeowners and board and management company:

Pool – Painted and needs closed (make sure leaves are removed before closing)

Pool Deck – Repaired in Spring 2015

Meter Packs – Scheduled for November 2015

Entrance Walls – Scheduled for December 2015 – Tuck/Capping/Sealing – 20,000 (Christina will look at preformed ones suggested by homeowner).

Planting behind North – Started and will keep paver patio bricks along sidewalk edge and fill in with additional pavers for those that don’t have.

Painting Schedule – Spring 2015, bids being obtained now for board review, quote to include old/rotting boards will be replaced when painting.

Stucco Repair – Bid being obtained now for board review.

Tree Removal – Tree removal and replacement being done now.

Other discussion brought up by homeowners:

1. Water/Sewer pipes breaking and repair: Repair is done to the spot of good pipe.

2. Capital Reserve Study to be completed

*3. Sump Pumps – Map of Sump Pumps defined, inspection needs done on all asap.

4. Stump Removal – Being done when trees are planted, check Weeping Willow behind South and clean/trim up

5. Mold Issues in Basements on Lane (in particular 6683) – Maintenance request to check.

*6. Gutters and Downspouts – Inspection/Cleaning – Ice damming on front sidewalk/porch , some suggestions: heat tape, sock filled with ice off on corner area, gutter guard removal in corner area or larger holes, winter snow removal quote on ice removal on front porch.

*7. RFP – Units on South Atrium Windows. Roofing Quotes – in conjunction with RFP for buildings on South/Atrium Windows/Roofing.

8. Outside Light replacement request – submit specs to board for review

Officer’s Reports

Chris Conrad – Dana Burtanger has resigned, open position to complete his term (Jan 2017) to be assigned by Board from submitted nomination forms to Patterson Merkle. Walk around in spring has around 70 percent complete. Quote on decks behind east for replacement: wood or trex. Website updated. City of Dublin Homeowners meeting crime in area up 42%, most common garage door left open. I-270 ramp to Dublin scheduled open Nov 24th.

Next Meeting

Annual Homeowners Association Meeting, Wed, Jan 20th, 2016, location to be determined. Discussions on where to hold homeowner meetings, since justice center is not open for meetings. Suggestions were Dublin Library, Fire station on Hard and Sawmill, and lastly Dublin Rec Center.
