STAFFING COORDINATOR
Description of Responsibilities:
Responsible for ensuring that all efforts are made to appropriately staff hours ordered for each patient and keep accurate and timely communication with staff and families.
Reports to: Director of Nursing
Responsibilities:
- Schedule staffing for assigned clients within authorized guidelines and with the approval of the Case Manager and Nursing Supervisor, at least 30 days in advance.
- Maintains overtime at a minimum while utilizing appropriately skilled personnel to meet the client’s skilled medical needs.
- Verifies all scheduled shifts with field nurses before sending the final schedule to the client’s home
- Mail patient schedules to families as needed, to arrive prior to the first of each month.
- Contact and schedule existing and active nurses for new cases in conjunction with Nursing Supervisors/Director of Nursing/Recruiter.
- Reports issues with shift cancellations and shift tardiness to Nursing Supervisors/DoN
- Inform families and Nursing Supervisors/DoN of unstaffed shifts or schedule changes as soon as they occur. Provide frequent updates of schedule status to families and Nursing Supervisors/DoN.
- All schedules should be kept current and updated daily in SHINE by 5 p.m.
- Maintain an accurate and up-to-date maintenance of all active nurses
- Assist in the interviewing of new nurses as it relates to availability and staffing needs
- Assists in orienting new office staff members to scheduling
- Assists in office duties as required
- Communicate staffing needs to recruiter after all internal resources have been exhausted, for future holes.
- Runs all appropriate SHINE reports to enhance staffing efficiency/margins
- Performs other duties as signed by supervisor
- Attends weekly scheduling meeting with Supervisors, DON and Administrator
- Coordinates with Supervisors and billing personnel regarding insurance authorizations as requested
- Whenever possible, the Scheduler will meet new families when starting new case to establish understanding of client’s needs and enhance communication (as schedule allows & coordinates with Supervisor/Case Manager).
- Assists Payroll personnel as requested
- Ability to utilize office equipment. (Computer, adding machine, fax, copier, etc.)
- Weekly tracking of client authorizations for hours staffed
- Maintains documentation of verbal communications regarding staffing in the electronic scheduling program
- Maintains professional boundaries within scope of position
- Maintains professional telephone etiquette
POSITION QUALIFICATIONS:
Minimum Qualifications
1. High school graduate or equivalent.
2. Effective organizational skills.
3. Effective oral and written communication skills.
4. Intermediate computer skills.
5. Effective interpersonal skills.
6. Effective phone skills.
7. Ability to work well under tight time frames.
8. Home health experience preferred.
9. Ability to prioritize, problem-solve, multi-task, and possess critical thinking skills.
Physical Requirements
