Short Term Room Coordinator - Job Description
Summary: The Short Term Room Coordinator is responsible for the scheduling of short term rooms, checking families in and out, as well as assisting the Guest Services Manager managing the day-to-day operations of Ronald McDonald House, including oversight of House operations, families and volunteers.
Reports to:Director of Operations
Job Qualifications:1. High school diploma or equivalent.
2. At least one year related experience preferred.
3. Excellent driving record & experience in driving bigger vehicles (need to be at least 22 years old to meet insurance requirements).
4. Excellent written and verbal communication skills.
5. Computer proficiency in Windows programs, including Outlook, Word, PowerPoint, Excel, and in navigating the Internet.
6. Excellent organization skills with consistent and reliable follow-up.
7. Understand and practice confidentiality.

Position Requirements:
- Manage the short term rooms, including scheduling, checking families in and out, and overseeing that such rooms are cleaned in time for check in. Ensure all paperwork from families are received and processed for the short term rooms. Run background checks as required. Confirm bookings with families. Keep a cancellation list of families waiting for short term rooms. Work closely with social workers who book rooms for families. Assist in overseeing the paid subcontractor staff responsible for cleaning short term rooms. Help direct volunteers to assist in cleaning short term rooms.
- Assist the Guest Services Manager on duty to manage the day-to-day operations of the Ronald McDonald House consistent with the policies and procedures initiated by the Board of Trustees and implemented by all staff. Be familiar with House policies and procedures and implement them consistently. If any questions or concerns arise related to policies and procedures, discuss them with the Guest Services Manager on duty.

- Maintain a community living setting by enforcing House rules and policies. Keep the Guest Services Manager on duty appraised of guest situations and intervene with appropriate action as needed.
- Provide an atmosphere of warmth and support by interacting with guests, meeting guests’ needs, providing information and/or referrals, and by generally maintaining positive guest relations.
- Provide safe transportation to and from Cincinnati Children’s Hospital Medical Center and other local hospitals if required.
- If needed, perform daily house operations tasks as requested by Guest Services Manager or Director of Operations.
- Communicate relevant information and needs with the Guest Services Manager on duty or the Director of Operation (e.g. supplies needed, broken fixtures, safety concerns etc.). Ensure that shuttle is filled with gas.
- Assist Guest Services Manager to oversee special events in and around the House such as family activities, children’s programs, tickets to local attractions. etc. Refers families to available resources and support organizations
- Represent with pride our Ronald McDonald House Charities in communication with parents, hospital staff and community members (as displayed through professional attitude, tactful and reliable information and appropriate dress). Maintain professional standards when communicating with parents and volunteers.
- Keep lines of communication open among the Director of Operations, Guest Services Managers, other staff, volunteers and hospital.
- Assist volunteers with questions and support them when the shift becomes busy (i.e. help with check-ins, check-outs, room remakes, etc.) Be available at all shift change times to be sure that volunteers have arrived. Greet, supervise and thank all volunteer groups scheduled during your shift and ensure they fill out a donation slip.
- Address with tact any problems that occur on your shift. Call for assistance as needed from the Guest Services Manager (or other staff if he/she is not available). Communicate all problems to the Guest Services Manager during and at the end of each shift. Respond to emergency situations (e.g. medical-, facility- and weather-related) by calmly and professionally notifying guests and providing necessary assistance.
- Be a helpful and understanding listener, but not a counselor to families.
- Obtain permission from the Director of Operations before making any contact for donated goods or services for the House.
- Pursue opportunities for professional development.

- Attend and participate in monthly Operations meetings.
- Work as a team member with all staff at Ronald McDonald House, treating fellow staff members with respect and sensitivity to the requirements of their jobs.
- Execute other House responsibilities as requested by the Guest Services Manager or Director of Operations.
