Re:Technology Purchasing Policy

This policy pertains to how technology purchases will be made at the College. In order to ensure that computer technology purchases fit within the overall technology infrastructure and technology plan(s) and to ensure that the ITS Dept. is able to effectively support technology once purchased, it is required that all purchases of technology, regardless of the source of funds, be directed to the ITS Department for approval. Technology purchases include computers, software, printers, scanners, copy machines, fax machines and any other peripheraloffice equipment. ITS Dept. approval of purchasing requests does not mean that the ITS Dept. will fund the purchase. The ITS Dept. will work with the appropriate College entities on the prioritization, approval, and funding sources for the requests.

User Responsibilities

Users may submit technology purchasing requests via phone (x5337), or via email ().

College Responsibilities

It is the responsibility of the ITS Dept. staff to review all technology purchase requests and determine the following:

  • Establishing technology infrastructure (hardware, software, services) standards that are to be used to help expedite purchases. This information will be communicated to the College community
  • Hardware, software, services meets the minimum specification standards established by the ITS dept. for the College
  • Hardware, software, services is compatible with existing campus technology investments and infrastructure
  • The purchase does not duplicate already owned/leased/contracted College hardware, software or services that are appropriate and sufficiently available to meet the needs expressed in the purchase request(s)
  • Pricing is reasonable and purchase is made from a preferred source
  • Power protection devices are utilized where appropriate
  • ITS Dept. to provide necessary service and support needs
  • Additional training, warranty, and/or service agreement requirements are included
  • ITS Dept. to provide alternatives where applicable.
  • ITS Dept. will work with areas requiring special academic IT or other IT equipment needs that are not included in the provided equipment standards product listing.
  • The ITS Dept. will seek purchasing prioritization and approval from the appropriately sanctioned College committee, group, department on all purchasing requests.
