LETTER TO PARENTS

INVITATIONAL AT WRIGHTSTATEUNIVERSITY

Dear Parents;

Your student will be attending Science Olympiad Invitational at Wright State University on January 12, 2013. This is a special invitational, as it will be a practice run for the National Competition, which will be held in May.

Travel: Each student will have to travel to state with their parent. This is a board of education rule, no exceptions. You can carpool (two kids each with a parent in the car). There is no bus. Speak directly to Dr. Anne if you have an issue with this. Sooner rather than later. It is about 3.5 hours nonstop with good weather and traffic; however, you will likely be going through Columbus at rush hour, so it may take 4.5-5 hours, with a stop or two. Hopefully you will be able to leave immediately after school is let out, so that you will have eaten dinner and will be checked in before the 8 pm meeting.

Rooms: Science Olympiad has made a block reservation for rooms. The hotel is Beavercreek Courtyard Marriott (or Courtyard Dayton Beavercreek) 2777 Fairfield Common Blvd; Beavercreek, Ohio45431. The web site is

The cost of the rooms is $90 (no taxes) for each night, and you will need to get a check made out to Chardon Board of Education with Wright State SO Competition in the memo. If you have not sent in your check, please do so by Wed PM at the very latest, since we need to have the checks into the board office.

Students may want to bring a bathing suit, in case there is time for some relaxation.

Friday Night: All students and parents will meet around 8 pm to go over plans for the next day. The students will need to be on campus by 6:45 am at the very latest, so they should get a good night’s sleep. Some time should be taken for review of notes, etc. that night.

Students should make sure that any documents (notebook, charts), calculators, equipment, building devices, etc have 1) names of those competing, 2) School and Team (Chardon Team 47B)

Meals: Due to the timing of travel, please plan to eat dinner on your own Friday night. You will want to have breakfast before the competition. Some parents will be bringing in some juices and snack items, but you will probably want to get a meal mid-day on campus. (If you can provide something in the home room to eat (veggie trays, fruit, water, crackers, cheese, cookies), that will be great. We will try and find a place where we can all eat together early Saturday evening, between the last competition time slot and awards. Please see the list of places to eat, later in this document.

Day of Competition: Our homeroom is RK054. Students should be there by 6:45, earlier if they are impounding an item (building events). The campus is located at 3640 Colonel Glenn Hwy, DaytonOH45435. An Emergency phone contact list will be provided. The list has a portion of the campus map on it. You might want to print it out ahead of time for easy reference.

T-shirts: All students should wear their red CMS Science Olympiad T-shirts on the day of the competition. Remember—if you have a chemistry event, there are rules for attire.

General Schedule:

6 am – Registration Opens – Student Union – Endeavor Room Lobby

6:30 am – 10 am Coffee/snack bar open in Student Union

7 am – Coaches Meeting – Endeavor Room

7 am – 1st event begins – Disease Detectives – ALL TEAMS Div. B & Div. C – White Hall

7 am – All Impounds open – unless otherwise notified at the Coaches Meeting

8 am – Competition begins for the rest of the events, Events are 1 hour with 15 mins. between

10 am – 7 pm – Student Union Market Place open for lunch and dinner

4 pm – Competition ends, Clean up Home Bases, Pack vehicles

5 pm – NutterCenter doors open, Assigned seating for teams, Open seating behind team seating

6 pm – Awards Ceremony – NutterCenter (if everyone get their scores to the Scoring Room)

Cleanup of Home Room

  • Event Supervisors and Teams will be given a trash bag at registration to clean up their rooms and we ask that you put the trash bag in the hallway outside the door.
  • Rooms are to be put back into the order they were found in – desks, tables, chairs, etc.

Awards Ceremony (NutterCenter, East of competition buildings)

  • Do Not plan to walk to the NutterCenter for the Awards
  • All upper level doors to the NutterCenter will be open
