MINUTES

BOARD MEETING

JANUARY 12, 2010

MADLEINE’S, MORGANTOWN

The meeting was opened by the new President, Deborah Falconi. Attending the meeting were Deborah Falconi, Kathleen Murphy, Beth Fantasia, Ellison Ponzurick and Natalie Creese. This is a quorum of board members.

Minutes: The minutes were not available to read from the last board meeting, December 2, 2009 but will be available on our Virtual Community site.

Treasurer’s Report: Detailed copies of the Year End Treasury Report are attached with the minutes. Year end totals are: Checking $980.52 and in Savings $1,596.35 for a total of $2,576.87. Kathleen noted that we spent $59.75 more than revenue collected. Kathleen has agreed to continue as Treasurer for 2010.

Nominating Committee: Ellison Ponzurick, Chair reported that 22 ballots were mailed on December 5, 2009and 14 were returned by December 19th. The election was validated and it was a unanimous result. Deborah Falconi was elected President and Patricia Julian Secretary with terms running 2 years. Natalie Creese,Vice President and Kathleen Murphy, Treasurer will continue in their offices for at least one more year.

Membership Committee: Beth Fantasia, Chair, reported that dues for 2010 are now due. We have 12 members who have paid. Beth will be sending a reminder to members who have not renewed. Beth will also send an invitation to all national ONS members in our area to join our chapter.

OLD BUSINESS

Natalie reported on the Fund Raiser. Members sold 81 tickets to the Magical Night of Giving for a total of $405. Members who worked at the event were Karie Rabagia, Kathleen Murphy, Natalie Creese and daughter Jennifer Creese. We will also receive money from the money collected that evening.

The main business of the evening meeting was to complete the Annual Report and sign the pages as necessary. The pages were signed by those in attendance. For the first time the Board asked a question of the National Office. The last page of annual report is for any questions. The question asked was “could the National dues be presented as a tiered structure? This would allow for different levels of payment of dues so that more nurses might be able to afford to join. (In corrections, Beth stated that “tiered structure” could have been explained more fully. But the question had already been submitted to national. There for no changes could be made.) Natalie will get Karie’s signature on pages as she was President in 2009. The Annual Report will then be sent to Secretary Tricia Julian for her signature. Tricia will then make a copy for our records and send the report on to the national office before January 31, 2010. (This was completed)

The next item of business was the Goals for 2010. The goals from 2009 were gone over and changes and corrections were made for the Goals of 2010. It was agreed that the goals will be checked at each Board Meeting to see if the goals are being implemented. Natalie will type the Goals and send to each board member for corrections/additions. (This was done. The only corrections came from Beth that #5 repeated “offer community activity” twice. This was corrected.)

NEW BUSINESS

It was voted by the Board to decide on dates for the meetings for the entire year. It was decided to do every other month on the third Wednesday. Dates are February 17, April 21, June 16, and August 18. The October & December meetings will vary. The October meeting will be held the Thursday before the annual Cancer Conference at WVU. December 1 was chosen because of the holiday season. The Program Chair will find speakers for these dates.

GOAL # 1: PROMOTE THE HIGHEST PROFESSIONAL STANDARD OF ONCOLOGY NURSING

Educational Programs

Provide educational programs with each general chapter meeting.

Participate in an Educational half-day or all day program.

Government Relations activities

Fill the vacant Government Relations position

Oncology Nursing image enhancement

Participate in community activities (Relay for Life, Screenings, I Can Cope)

Recognition of Oncology Nurses in cancer settings in our area during Oncology Nursing Month

GOAL #2: STUDYING, RESEARCHING, AND EXCHANGING INFORMATION, EXPERIENCES, IDEAS LEADING TO IMPROVED ONCOLOGY NURSING

Present at local, regional, national levels

Encourage members to speak at varying levels

Attend Mentorship Weekend

Sponsor board member to attend Mentorship Weekend

Participate in joint membership with physicians in the WV Oncology Society- statewide

Hold joint educational programs

Assist with WVU Fall Cancer Conference with University Physicians

Hold local chapter meeting the evening before cancer conference with nurse speaker as guest speaker.

GOAL #3: ENCOURAGE NURSES TO SPECIALIZE IN THE PRACTICE OF ONCOLOGY NURSING

Collaboration with nursing schools

Have a program with special attention to student nurses

Participate/exhibit at nurses week/month activities.

Reestablish and implement a scholarship program based on finances from fund raising events.

GOAL #4: FOSTER THE PROFESSIONAL DEVELOPMENT OF ONCOLOGY NURSES, INDIVIDUALLY AND COLLECTIVELY

Promote the Oncology Certification Examination

Provide Board member retreat for planning chapter events annually

Schedule event in November

Continue to use the newsletter to recognize members accomplishments.

GOAL #5: FOSTER A CULTURALLY DIVERSE ORGANIZATIONAL STRUCTURE AND FUNCTION THAT IS RESPONSIVE TO THE CHANGING NEEDS OF OUR MEMBERS AND THE POPULATIONS WE REPRESENT

Complete needs assessment that incorporates learning modalities and professional development.

Become more aware of our local oncology nurses needs.

Provide Newsletter/Web site to keep members up to date with activities

Offer a minimum of one community activity per year

Participate in a fund raiser to acquire monies to further support our chapter and its goals.
