The Post Charges Booklet Guide provides a good summary of available services and products. Limited stocks of the above prepaid products are held at the Mail Room, but please provide at least two weeks notice if you require a large bulk order of a product so that additional stocks can be available when required.

POSTAGE CHARGES

The JCU Mail room operates on a cost recovery basis in relation to postage charges.

Depending on the particular product or service, Australia Post postage charges are levied on the basis of a combination of some or all of the following factors: size; thickness; weight; distance; volume.

Parcels are subject to maximum weight, length and girth restrictions.

Note that the University currently receives contract rates for domestic parcels and international post, which will differ from the rates shown in the Post Charges Booklet.

PROCEDURES FOR SENDING MAIL AT JCU TOWNSVILLE

EXTERNAL MAIL

All mail articles being forwarded to an external destination must either:

a)  have Australia Post postage stamps attached or a charge code

b)  be in an Australia Post prepaid envelope or satchel or

c)  be in a pre-printed JCU postage paid envelope, with a current JCU account code and the name of the sending school/unit etc stamped or clearly written on the front of the envelope. (JCU postage paid envelopes are available from JCU’s stationery sole supplier.)

or

d)  if wrapped or boxed parcels, have a current JCU account code and the name of the sending school/unit etc. stamped or clearly written on the front of the article. The maximum weight of a mailed parcel is 20 kg. Items over this limit can be forwarded via freight services (enquiries to extension 15272).

Please check that charge codes provided on mail articles are current.

The name of the sending department/unit etc. needs to be stamped or clearly written on each article to assist with the processing of any returned mail, or, if there is any query in regard to the charge code provided.

Any such mail without a charge code provided will be returned to the sender if known. If the sender has not been provided then the item cannot be processed.

INTERNAL MAIL

Internal Mail should be clearly addressed with the addressee’s name and location (dept. /unit etc.).

The Inter-Campus Mail Bag Service (Townsville/Cairns) for internal mail is for the carriage of A4 (or smaller) sized letters only. Larger items are to be forwarded as external mail or through the Freight Service.

SENDING MAIL

Please separate internal, Australian and overseas mail.

Before placing outwards items in the mail tray please bundle separately into charge code mail and all other mail.

INTERNATIONAL MAIL

With the exception of uninsured letters (a letter is defined as weighing no more than 500g, with dimensions up to 36 x26 x2 cm) containing written correspondence or documents only, international articles must have a customs form or declaration attached.

Contact the Mail Room to obtain the appropriate form or prepaid product. You will need to advise the value (under or over $500.00) and whether the article weighs under or over 2 kg.

INSURANCE

Some Australia Post products and services include compensation up to a specific amount for loss or damage of an article. This compensation is payable at Australia Post’s discretion. These products also allow for the purchase of additional insurance, known as Extra Cover. Please refer to the Post Charges Booklet or contact the Mail Room for details.

BULK MAIL OUTS

Contact the Mail Room (extension 15272/ 14211 or to request the required number of trays/boxes. There are trays available for small letters and plastic boxes (“flutes”) for larger items. Advise the size and number of articles to be sent. The Mail room will advise the packing requirements and the trays/boxes will be delivered to your office.

Please separate internal, Australian and overseas mail.

A4 sized items are to lay flat in the tray.

Do not overload trays.

Flutes should be filled no higher than the lower level of the handle slots.

When items are packed, email or to request pick up. Attach a memo advising a current account code and total number of items.
