PALS BQCC Meeting Minutes

Old Business:

1.  60,000 Duplicate Project, first 6,000 distributed in October. Send requests for additional printouts to work on to Bonnie Potters (Clearwater) who will distribute more from the master list. More are on the way to St. Petersburg and Safety Harbor.

2.  Clearwater to begin testing Floating Collections now available in 3.5. Books will be sent back to branch where they were borrowed from and/or can always be returned to the Home Branch designated on the last page of the item record. More information will be released from Clearwater prior to start of testing.

3.  Re-emphasized the importance of adding 007, 008, and correct LDR fields, to even very brief bibliographic records to display the correct material format (book, cd, dvd etc.) to the patron in the PAC. There are system bibliographic templates available to use in the ordering process: Cataloging, Templates, Bibliographic, Search by Name, for *, and the templates will come up and/or libraries can create their own.

New Business:

1.  Election of New Chairman & Secretary for 2010.

2.  Pamela Peterson (St. Petersburg) library has graciously accepted the nomination for BQCC Chairman for 2010. Bonnie Potters (Clearwater) will be acting secretary. Congratulations to Bonnie Vincent on her recent promotion and welcome new BQCC member Erin Hollingsworth from Pinellas Park.

3.  Group agreed to centralize meeting location at Pinellas Park library, providing meeting room space is available. BQCC will continue to meet the last Wednesday of every other month, meeting time 10:30 a.m. Next tentative meeting, Wednesday, April 28th, Pinellas Park Library.

4.  Clearwater to begin testing Floating Collections. Safety Harbor discussed creating web link to local history digital collection, Gulf Beaches will begin loaning DVD’s around March 1st, Palm Harbor’s Kindles are circulating well, looking into leasing DVD’s . Continued patron demand for TV series. St. Petersburg to increase number of popular DVD’s on order. Seminole will inventory collection, may be closed during this time.

5.  There was general agreement on recent increase in Polaris lag time since upgrade to 3.5. Bib Script is not running in 3.5, notification has been sent to Maureen. If no item records are added to a new bib, please manually undisplay this record in the PAC, until the Bib Script is re-enabled. New material/fine/loan code numbering with 3.5 will remain as is. Bibliographic profiles were not set up immediately after upgrade, Maureen was notified, and they have been reset. Experiencing Serial/volume numbering and label problems since the upgrade. New material codes for Blu-Ray, AudioEbook, Book & CD, and Book & Cassette have been added with 3.5 *New Home Branch field has been added to last page of the item record, if you copy another PALS library’s item record make sure to change this field to match your library!

6.  New Book Feed on PAC is not working correctly. Seems to be pulling many old items from Seminole’s collection to display as new. This was noticed early on and still is not correct in 3.5. May want to remove from displaying to public.

7.  Request to add additional Z39.50 links for searching for bibliographic records into Polaris, (providing libraries agree to allow us to search), list was provided to Anne Shepherd for next Director’s meeting. Note to remove duplicate CW MARS link as well.

8.  New RDA cataloging rules will be published June 2010. General BQCC cataloging guidelines may need to be revised after implementation. Discussion on how outsourcing will handle RDA changes.

9.  Two new bibliographic import profiles are available with 3.5 and libraries are testing, one imports by encoding level. This current set up is not working well and is still overlaying records, which eliminates all linked authority records in the process. Dunedin has discontinued using it. Make sure encoding level is correct in the bibliographic record. Second method, looks for duplicates and discards incoming duplicate record, and only adds item records, Clearwater is still testing this, but has experienced problems with missing item records and item pricing issues.

10.  OCLC SetHoldings Project-TBLC is distributing printouts to each member library to correct bibliographic information to match OCLC record and add OCLC number they have researched to 035 field. This project takes priority over the ongoing duplicate project. We have approximately 20,000 to correct in this batch. They are being distributed by holdings. Please correct in time for our next OCLC load.

11.  Authority Records, would like to proceed with adding automated authority records to the system and investigate suppliers. Still need to eliminate the overlaying of full bibliographic records before we pay for authority records. Catalogers are continuing to manually add critical authority links for the author field.

12.  Even though, catalogers are withdrawing and deleting item and bib records. We still may need to schedule a global PALS delete for bibliographic records still in the system at some point.

13.  Polaris 3.6 will allow for holds on item records attached to serial records. Serial records present problems for Floating collections. Will have to revisit this issue.

14.  Catalogers have seen a huge difference in the number of duplicates encountered. Great team effort, keep up the good work!

1.  Lag time since upgrade

2.  Re-instate Bib Script

3.  Printing problems, serial record numbering, volume numbers.

4.  Remove or modify New Book Feed from PAC.

5.  Assistance with modifying Bibliographic Import Profiles
