Many thanks for your interest in becoming one of the National Portrait Gallery’s Approved Events Suppliers.
The National Portrait Gallery is currently inviting caterers, florists, production companies and entertainment agencies interested in becoming an Approved Events Supplier at the Gallery, to complete the application process in order to be considered as potential suppliers for both internal Gallery events and external client hire events at the Gallery.
The National Portrait Gallery houses a national Collection, the protection of which is of the upmost importance. As the Gallery is a very sensitive space in which to work, much consideration must be given to the fragile nature of the Collection and the building when planning and executing an event.
The Gallery is available for events on Monday, Tuesday and Wednesday evenings. Set up time is typically 30 minutes between 6.00pm and 6.30pm for a Reception for up to 400 guests. The Gallery is also available to hire from Monday to Friday for breakfast events from 8.00am – 10.00am and set-up is typically 30 minutes from 7.30am – 8.00am for 150 guests. Set-up time for Dinner Events is usually slightly longer.
Approximately 90 events are held at the Gallery per year and are a mix of Breakfasts, Dinners and Drinks Receptions.
The Gallery has an in-house caterer, Searcys, who run the Portrait Restaurant and Portrait Café. They are included on the Approved Events Suppliers List and are selected in the same way as other companies.
The National Portrait Gallery is seeking approximately 8 caterers, 4 florists, 2 entertainment agencies and 3 production companies. Please be aware that inclusion on the list does not guarantee you will be chosen for events by either the Gallery or external Gallery clients.
Gallery Approved Suppliers will be required to enter in to supplier agreements based on Gallery standard terms and conditions. Please familiarise yourself with the Approved Suppliers Agreement so you are aware of all applicable terms and conditions.

Only application forms will be assessed. Please do not send through any further company information or brochures at this stage as these will not be considered as part of your application.
Please be aware that due to the high volume of applications we expect to receive, we will not be able to contact all applicants. If you have not heard from us within 1 month of the deadline for submissions, please kindly assume you have not been successful.
All applications must be received by Thursday 9September at 5.00pm. Any applications received after this time will not be considered.
Stage 2, September 2010
The Gallery’s Events Team will assess all of the applications and shortlist to a maximum of 15 caterers, 8 florists, 6 production companies and 4 entertainment agencies for further consideration.
The evaluation criteria that are amongst the most important to us are:
- Technical capacity and capability (including track record and client portfolio)
- Financial Position (strong / stable)
- Diversity, environment and sustainability
- Health and Safety record
Stage 3, October 2010 – December 2010
If you are successful in being shortlisted under stage 2, you will go through to the 3rd stage of assessment. The assessment may involve some or all of the following
- An informal meeting and interview with the Gallery’s Events Team and possibly the Gallery’s Deputy Director
- Observation of set-up at 1 other venue
- Copies of any company brochures or marketing you have
- We may ask to have a small tasting (caterers only)
- Take up of references
Stage 4, January 2011
Having completed all of the assessment stages, the Gallery will finalise its approved suppliers list and notify all shortlisted suppliers of the Gallery’s decision.
Stage 5, February 2011
Supplier Agreements will be issued to all Approved Events Suppliers for signature.
Stage 6, April 2011
The Approved Events Suppliers List will apply from April 2011 and will be published on the Gallery’s website.
Please note, if you are currently on our Approved Events Suppliers List but are not successful in your application under the above process, you will be free to honour any bookings already made by Gallery clients for events taking place after April 2011.
