The International Office
The International Office plays a central role in supporting the development and implementation of The University’s Internationalisation Strategy focusing in particular on international student mobility (both the recruitment of students from overseas as well as the placement of UK-based students on study and internship opportunities with partners across the world), international teaching partnerships and international relations, including support for students, staff, sponsors and visitors from overseas. The University’s UK campuses are home to about 10,000 international and EU students representing more than 140 countries.
The University prides itself on the support provided to external partners, being one of the first HE institutions within the UK to provide a dedicated contact for international sponsors. This role will manage administration relating to the University’s international sponsors, related databases and key stakeholder communications to ensure performance objectives are met, with a key focus on excellent customer service delivery. The role holder will manage workflow planning and implementation to support international sponsors, including relevant administration for over 1,500 international sponsored students.
The role provides experience of working with funding agencies, international sponsors and international students from many countries, and with a wide range of staff from across The University. It will include substantial contact with external partners, often at a senior level, requiring a strong customer service ethic, excellent attention to detail and an ability to effectively manage a variety of projects and enquiries at any one time.
A drive for continuous process improvement and efficiency with documented working practices is required, together with a passion for working autonomously to take the lead and achieve real results. This is a highly varied and interesting role where a flexible and co-operative approach to working patterns and project responsibilities is necessary. Main Responsibilities / % time per year1. / Account Management of Key Sponsors
To provide an excellent level of customer service to a number of key sponsors/specific scholarship schemes. This includes:
Management responsibility for specified key sponsors accounts, acting as the main point of contact for all sponsor enquiries (including but not limited to students’ registration, academic progress, financial queries, welfare concerns , providing information on changes in University policies, updating sponsors on new courses and dealing with sponsor concerns.
Responsibility for the coordination of related sponsor visits and attendance at graduation ceremonies.
The University’s relationship with international sponsors is a priority and the manner in which this communication is undertaken, including the depth and spread of information that this post delivers, is critical. / 20%
2. / Administrative Leadership and Customer Service
To act as the administrative lead and manage enquiries from sponsored students, sponsors and internal departments, answering relevant queries in a timely, customer focussed manner, working to the agreed Service Level Agreement and resolving any complex cases in liaison with the Scholarship and Sponsorship Manager.
As administrative lead, you’ll be expected to keep updated on University-wide policies and current practices and be acutely aware of external influences that may impact on delivery, student support and student recruitment.
Provide administrative contingency cover within the team during peak times/periods of staff absence (in relation to scholarship and Federal Aid administration). / 20%
3. / Database Management and Information Reporting
To manage an in-house database, ensure accurate, efficient and timely reporting throughout the academic year, to provide statistical analysis and reports relating to international sponsors and their students, and to make recommendations regarding relevant database developments, in line with University-wide systems.
To ensure International Office colleagues are well informed with trend analysis of sponsor intake to shape market specific activity. This should also include timely identification of new and emerging sponsors from a leads generation perspective. / 10%
4. / Presessional Student Administration
Manage sponsor accounts for all Presessional English students studying at the Centre for English Language Education. This includes acting as the main point of contact for sponsor enquiries, and for student financial-related enquiries. To ensure that sponsors are kept informed of students’ academic progress, manage requests for additional periods of study and ensure that fees are paid in a timely manner, liaising with Debt Services on the status of outstanding tuition fee invoices.
To act as the main point of contact for internal staff regarding sponsors, including advising on sponsor policy changes, market developments, statistical analysis and any sponsor specific Presessional fee policies/restrictions. / 10%
5. / Financial Management
To lead on sponsor invoicing, including any outstanding tuition fees, in conjunction with Tuition Fee Services and Debt Services.
Produce regular reports for sponsors on the status of outstanding tuition fees and keep colleagues in Debt Services regularly updated on the status of sponsor accounts.
To alert senior colleagues to any sponsor debt related concerns/issues in a timely and appropriate manner. / 30%
6. / Non-Award Bearing Sponsor Support
Manage sponsor-support for specific non-award bearing schemes (eg Science without Borders, Channel Scheme, and specific Study Abroad partners), including financial management of the programmes. / 5%
7. / Project Work
A small amount of ad hoc project work in liaison with the Scholarship and Sponsorship Manager may be required from time to time / 5%
Knowledge, Skills, Qualifications & Experience
Essential / DesirableQualifications/ Education / · Bachelor Degree or equivalent, or have some relevant administrative experience within the Higher Education sector / · Knowledge of international student funding markets
Skills/Training / · A sound understanding of the international higher education environment
· Experience of working with current University systems, eg SaturnWeb, Saturn 3, Agresso and Fee Billing
· Demonstrable knowledge of University processes, policies and systems
