General Conditions

Clevedon ASC and Chard & District ASC (The Promoters) reserve the right to reject any entry without giving a reason. By submitting entries on the official entry forms or electronic file, clubs and competitors accept the rules of this competition.

Competitors whose entries are accepted and are subsequently found to have been entered in the wrong event(s),

(a)because of incorrect entry information, will be withdrawn from the event(s) and will not have their entry fee(s) refunded; or,

(b)because of error by the organizer, will be withdrawn from the event(s) and will at the organiser’s discretion and without further obligation or liability by the organizer either i) be entered into the correct event(s) or ii) receive a refund of the relevant entry fee(s)

All competitors must be Category 2 registered with the ASA or their relevant Governing Body, and may compete in the name of one club only. It is important that swimmers enter under the exact name by which they are known to the ASA, so that our computer software identifies the correct swimmers.

This meet has been designated as Level 3 for County and Regional Qualifying Times.

Age groups will be:- 9yrs, 10yrs, 11yrs, 12yrs, 13yrs, 14yrs and 15yrs/over. Please note that 9yr olds will not be allowed to swim 100m events. Ages as at 24th June 2018.

The Pool is 25 metres long and the competition will be swum short course. Anti-wave lane devices will be installed and electronic timing/placing will be used whenever possible. Entry times should be those for 25m pools.

The meet will not exceed 7.5 hours total racing time (excluding warm ups) on either day.

Swim Meet entries will be managed on a computer. By submitting entries, consent is thereby given, as required under the Data Protection Act 1998, to the holding of personal information on a computer. Personal data, including submitted and recorded times, may be made public during or after the Meet.

Only swimmers reporting for their event and officials will be allowed on poolside during the Meet. Coaches in possession of a coach pass are allowed on poolside during warm-ups. Wet swimmers are not allowed in the spectator areas. The small pool may be used at the discretion of the lifeguards and is for swim down only.

Parents and Carers of participants under the age of 18 who wish to take images are requested to focus on their own children as much as reasonably possible and to avoid including other children in images, particularly if those images are being shared with family and friends or through social media platforms. Whilst it is acknowledged that parents / carers wish to celebrate the achievements of their own children when taking part in aquatic events it should be recognised and respected that other parents / carers may not wish for their child’s image to be taken and shared in this way.Any person not complying will be asked to leave the pool complex. The Meet Organisers may use photographs to display on their website. It is the responsibility of Clubs to ensure that the Meet Organisers are notified if any child/parent does not wish their photograph to be taken.

Neither the promoters nor Legacy Leisure accept any liability for any loss or damage to personal belongings.

The promoters reserve the right to alter these conditions if necessary, any alterations being announced during the Meet. Any matter not covered by these conditions shall be at the promoters’ discretion if not covered by ASA Laws or Technical Rules.

Entries

Entry Information Packs are available from the Meet Secretary, Mr Paul Chambers, 32 Conference QAvenue, Portishead, Bristol BS20 7LF (07891 943133) or email .

All entries must be submitted in ONE Hytek electronic entry file and emailed to before midnight on Friday 11thMay 2018 – no late entries will be accepted.It will be the responsibility of the Club submitting the electronic entry to ensure the accuracy of entries prior to submitting to the Meet Secretary.

Updated entry files will not be accepted.

Cut off times will be applied to all events. Competitors’ entry times should be based on times actually achieved.

The entry fee for each event is £6.50. Entry fees should be paid on one consolidated cheque made payable to Clevedon & Chard Open Meet. If you prefer to pay by BACS transfer, please contact the Meet Secretary to organise this facility. Entries will not be registered until evidence of cleared funds is received by the Meet Secretary.

Coach passes (maximum 4 per club) are available at a cost of £15 each for the whole or part of the Meet and include a programme and a full set of results. Applications for these should be requested on the entry form at the time of submitting entries. These passes are transferable between representatives of the same club, however, it is the responsibility of the club to ensure each person entrusted with these passes are checked in line with the A.S.A. Child Protection Policy and must hold a current DBS certificate for their swimming volunteering role. DBS certificate numbers must be provided to the Meet Secretary for all staff who will be in a position of responsibility and wearing these passes. The passes must be worn at all times during the Meet.

Entries will be accepted on a ‘first come first served’ basis. The promoter reserves the right to reject entries if events are oversubscribed but will ensure an equal balance of swimmers across the age groups and capping the more popular events if required for safety reasons.

Entry reports and exception reports will be sent to Club Secretaries by Friday 18th May 2018. Further action may be required before confirmation of entries can be achieved. It is the responsibility of the club to ensure entries are corrected and returned to the Meet Secretary within 48 hours to enable entries to be confirmed, after which a list of scratched or rejected swimmers and refund cheque will be sent.

Once entries have been confirmed, there will be no refunds for withdrawals or scratched swimmers.

Prizes

All events will be HDW. Awards will be made for the first six places in each event for the age groups given above.

There will be overall trophies for the Top Girl and Top Boy in each age group and also a trophy for Top Club. The trophies will be based on the acquisition of the highest points total throughout the meet (6 points for a 1st place, 5 for 2nd etc). In the event of a tie, the number of first places etc will decide the winner.
