Director of Administration

Overview

Mobility International USA (MIUSA)seeks a highly qualified Director of Administration. Qualified candidates will have excellent operational management, interpersonal, fiscal and project management skills. Previous federal grant management and experience in managing international projects preferred. This is a full-time position that reports to the Chief Executive Officer and is based in Eugene, Oregon USA. Salary and Benefits

Competitive salary range of $54,000 - $65,000 commensurate with experience; excellent benefit package including full medical, long-term disability, retirement, wellness, professional development and public transportation pass.

Director of Administration Role

Administrative Responsibilities

  • Leads, oversees and manages all internal operations.
  • Develops and administers operational and administrative policies, standards, practices and systems that advance the organization’s missions, values and goals.
  • Reviews, monitors and administers all formal finance, human resources, operational and IT-related policies, procedures, systems and processes.
  • Recommends and implements improvements to the systems in place and manages the systems going forward.
  • Ensures organizational compliance with all federal, state, and regulatory statutes, rules and regulations.
  • Ensures that the organization delivers on all project and grant deliverables.
  • Ensures timely, effective and professional communications with project partners, grant officers, participants and consultants as needed and specified by grant requirements.
  • Ensures organizational compliance with federal grant regulations, including new Office of Management and Budget (OMB) Uniform Guidance for Federal awards.

Human Resource Responsibilities

  • Evaluates and oversees all benefits negotiations to provide most competitive and rewarding packages for MIUSA employees.
  • Reviews and oversees human resources programs such as staff training, development, compensation and benefits, employee relations, performance evaluation, conflict resolution, recruiting and hiring.
  • Oversees, leads, administers and monitors organizational hiring, orientation and ongoing training of project staff; performance evaluations; professional development; maintains personnel records; approves staff time and requests.
  • Supervises senior leadership staff and project manager level positions as assigned.
  • Improves institutional and organizational systems to increase staff productivity and enhance the quality of the work.
  • Provides reports to the CEO and Personnel committee to ensure personnel policies are aligned with organizational goals and mission.
  • Serves as a liaison to the Finance Committee with the Director of Finance and Personnel Committee of the Board of Directors.
  • Attends Board of Directors meetings in the absence of the CEO.

Finance and Technology Responsibilities

  • Responsible for full oversight of all operational, finance and personnel activities. Implements systems and processes to ensure highly effective and efficient operations.
  • Oversees organizational operating budget, projections and records, including cost-share contributions.
  • Oversees the Director of Finance to ensure that financial systems and accounting software provide the organization with quick access to accurate financial information and enables strategic budget planning.
  • Reviews financial reports to ensure accuracy and compliance with federal grant requirements.
  • Assists with the auditing process with the Director of Finance to ensure efficient and effective audit process.
  • Directs, monitors and reviews staffing patterns and forecasting for effective budgeting.
  • Manages technology infrastructure, inventory, upgrades and maintenance to ensure innovation and timely improvements that lead to more efficient and quality work.
  • Directs activities as requested to develop, manage and sustain organizational funding, including writing funding proposals (if applicable), enhancing relationships with funders and partners, coordinating donor activities, retaining existing funding and other related activities.

Leadership Responsibilities

  • Reports to the CEO; meets regularly on organizational priorities, goals and processes to ensure high quality programs and projects.
  • Supervises the Office Manager.
  • Provides a strong day-to-day leadership presence and supports an open-door policy among all staff that encourages teamwork, professional development, quality programming, mentoring and excellence.
  • Ensures that monthly staff and managers’ meetings are conducted.
  • Fosters a success-oriented, collegial and accountable work environment that effectively meets the needs of all projects and deliverables and promotes peak performance from staff.
  • In absence of CEO, serves as person in charge; serves as temporary program manager in regular manager’s absence or vacancy.
  • Assists CEO as needed in strategic planning initiatives as requested by Board of Directors Strategic Planning Committee.
  • Coordinates special projects as requested by the CEO, including but not limited to short term projects, special events, staff retreats, job search and training programs.

Other General Responsibilities

  • Adheres to MIUSA’s personnel policies and procedures stated in the policy manual.
  • Manages workload, sets priorities and adheres to timelines.
  • Maintains organized files and workspace.
  • Works as part of a team in the MIUSA office.

Qualifications

  • M.A./M.S. required or B.A./B.S with demonstrated equivalent experience.
  • 8+ years experience in a leadership role, managing grant-funded projects and staff in a non-profit environment, or equivalent.
  • Experience overseeing and managing operational activities including financial and human resources systems at a similarly-sized non-profit organization or division required.
  • Excellent interpersonal skills including conflict resolution, effective team building, communication with individuals and groups.
  • Excellent writing, speaking, and organizational skills.
  • Ability to multi-task in a fast paced environment utilizing good judgment and effective decision-making skills.
  • Personal qualities of respect, responsibility, integrity, honesty, leadership and strong ethical values.
  • Experience complying with the U.S. State Department Office of Management and Budgets regulations and familiarity with Uniform Guidance regulations preferred.
  • Demonstrated experience in successful funding strategies, project development, fundraising and donor strategies preferred.
  • Experience with public relations and communications preferred.
  • Passion for empowering people with disabilities in an international context and ability to convey organizational mission is a plus.
