- President’s Report (Jeff Poulin)
- NYSBRA support for NY anti-doping program: Rod has been working with groups in NYC to start up a random drug testing program modeled after the Florida Program. The program would raise $3,000-$5,000 per year to fund USADA to conduct extra random drug tests in NY. All NY entities would be blind to USADA’s testing. This group is seeking NYSBRA’s moral and financial support on an annual basis.
- Rod:On the doping program; I would very much like to see this put into place, we have the available $ and I believe NYSBRA is the best way to implement this using USADA. More work to be done on specifics, but is NYSBRA can agree in principle to contribute $X to year one (2013) then others can work on raising additional funds from clubs and individuals who are interested in having this administered in our state. Total funding of $10k is likely needed and we need time to raise that.
- NYSBRA can help solicit donations from clubs via all-rider email and nyraces (Action: Keith)
- The Board approved; Rod will recommend an initial funding amount and Jeff will solicit the officers and board for approval (Action: Jeff)
- Following the meeting the board unanimously approved $5k in the first year and $2k per year thereafter.
- 2013-2014 NYSBRA Elections: Our 2-yr terms are about up. Notional time-line for elections:
- 30Sep: Request for nominations posted to nyraces (Jeff)
- 30Oct: Nominations close
- 15Nov: SurveyMonkey set up for voting (Keith)
- 16Nov: email to all NY Riders announcing SurveyMonkey (Keith)
- 15Dec: Vote ends (1-4 wk voting period)
- 19Dec: 4th Quarter NYSBRA Board telecon
- Jan 2013: NYSBRA Annual Meeting (NYC location), new terms begin.

- Grant Program (Jeff Poulin)
- Mission grants: No mission grants were requested during the last quarter.
- Junior grants: Juniors should start applying for the $100 junior grants for 2012
- Vice President’s Report / Upgrades(Andrew Ross)
- Guidelines for clinic credit for upgrades: The policy states that for 2 days credit the clinic must be a minimum of 4 hrs with “mostly on-bike” training. Eric requested we clarify the policy “(i.e., a minimum of 2 hours of on-bike training).”
- Approved: Action Andrew to update web site.
- Treasurers Report (Rod Millott)
- No issues with cash; opposite is true, we have underspent at this stage
- I am still behind in issuing some check; I probably have 5 I need to send
- We should be asking clubs to get their juniors to apply for junior grants (Action: Keith in next all-riders email)
- Secretary’s Report (Keith Lyndaker)
- All-riders email topics: Anti-doping program, nominations for NYSBRA elections, junior grant reminder, CX champs, call for pictures for NYSBRA.

- Web site picture rotation: Time to rotate the pictures? Will ask for “club photos” in the next email.
- Permits (Gary Toth)
- All permits on track; no issues.
- Permits for “training:” Promoters are reminded to ensure that the permit requested is the correct permit for the event. This is particularly important when permitting training rides, the permits for which are not intended to cover competitive events such as club races. Permitting an event with the wrong permit may result in the insurance coverage being void.

- 2012 CX Schedule: I would like input on the NYS Cyclocross Race Calendar. I have been coordinating the CX race dates, which means compiling and publishing a calendar of known CX race dates so we have a single source of NYS races. I also negotiate a single NYS Cyclocross Championship race. I would like suggestions on how to better communicate the calendar to the race promoters and need to do it much earlier in the year and avoid conflicts.
- How I manage the CX Calendar: I will describe how I manage the calendar and hope to get feedback and suggestions from the group. In 2013, I will get the schedule out earlier (in the spring) to set up dates and try to avoid conflicts as early as possible.
- NYRACES egroup:Dave will gather email addresses Gary Toth receives as part of the permitting process, in addition to the email addresses that Dave has, to reach out to all CX promoters to join the nyraces egroup (the Yahoo egroup for all NY promotes, club officers, and officials).

- 2013 MTB bike rep: Jane has not been able to focus on building MTB within NYSBRA as much as she hoped so will not be serving in this role next year. We will solicit interested parties during the election cycle.
