FUNDRASING INFORMATION FOR SERVICES

The following information has been produced in order to make the necessary processes clear when services apply to use the National Portage Association charity number and/or logo when fund raising, either for their own service or for the NPA.

Strict rules govern the use of the NPA’s Charity Registration number. The registration of your service with the NPA does not entitle your service to use the number. However the NPA will be pleased to support your fundraising and has a procedure to enable this, please see below. Prior written consent must be obtained to ensure the charity meets its legal obligations. Services and Accredited Trainers may not use the NPA logo as their own.

Raising money for own service or for National Portage Association

1. Apply for use of charity number and read Using the Association’s Charity Number on page 2. Check with Treasurer or finance officer if necessary.

2. If wanting to use logo on promotional materials read Use of the Association’s Logo by Third Parties on page 3, and check with Treasurer or finance officer if necessary.

3. Keep records of all receipts, payments and donations collected.

4. Keep records of all payments forwarded to NPA.

5. Keep a list of any sponsorships and send the money to the NPA office. An official receipt will be issued to individual companies.

6. Anyone wishing to Gift Aid/write off against tax their donation will need to complete the Gift Aid form on page 4 and send it to the NPA office. An official NPA receipt will be issued.

7. Receipts issued by event organisers are not official NPA receipts. If desired, they may make it clear that the net proceeds of the event will be given to NPA, Registered Charity no. 1087865

8. Please note, the NPA is not able to claim back VAT for fund raising events.

9. Once the funds that have been raised have been passed on to the NPA and the money has cleared, a cheque will be issued to the registered service, less any handling charges as specified under the NPA rules for handling donations.

Using the Association’s Charity Number

Should your service wish to use the charity number, you should write to the NPA office, stating why you wish to use it, the organisations from which you will be soliciting funds and the purpose to which the funds will be used. Permission will be given, if it is in line with the NPA’s constituted objectives and does not clash with ongoing works or future plans of the NPA.

Should permission be granted, it will be in writing and be subject to the following:

  1. Your service must be registered with the NPA.
  1. All proceeds must be banked through the NPA’s accounts.
  1. There will be a handling charge of 10% per credit item.
  1. All deposits must be made within three months of the date permission was given. Any funds received after the three-month period has elapsed will be retained by the NPA. In special circumstances which have been agreed to by the Chairperson and Treasurer this period may be extended.
  1. Donations to services will be made once the credit item has been cleared through the NPA’s account.
  1. Your service must have a bank account open, which requires at least two signature withdrawals, into which the net funds can be paid.
  1. Should a service, whilst using the NPA registration number, receive a donation through Gift Aid, then the reclaimable tax portion will be retained by the NPA.

Any service, which is regularly fundraising, raising £1000+ each year, is strongly advised to set up a “Friends of Group”, registering it as a charity in its own right.

Raising money for your own service through online donations

1.Services raising money through online donations eg Just Giving, should inform

the Treasurer or NPA office and ensure that approval is given, as in Form 1.

2. Your service must be registered with the NPA.

3. All proceeds must be banked through the NPA’s accounts.

4.Your service must have a bank account open, which requires at least two signature withdrawals, into which the net funds can be paid.

5. The period for donations to be received will be the period that is indicated on the fund raising page. Any donations received after this period has elapsed will be retained by the NPA.

6. When the online donations have closed, and the money has been transferred into the NPA bank account, the net donation, less a 10% handling fee, will be passed on to the service.

7. The Gift Aid that is recovered by the online service, eg, Just Giving, will be retained by the NPA without any further handling charge being deducted.

Use of the Association’s Logo by Third Parties.

Article 27.5 of the Association’s Articles of Association allows Registered Portage Services to use the Company’s logo. The Trustee Board also extends this right to NPA Accredited Trainers. The information below explains under what circumstances the logo can be used, and the restrictions that apply, as approved by the Trustee Board on the 23rd November 2001.

The logo is the property of the National Portage Association, and a registered trademark. Portage Services registered with the Association and Trainers accredited by the Association may use the logo on their letterheads/literature subject to the following conditions.

  1. The logo cannot be used in place of your own logo
  1. If you cease to be a Registered Service or Accredited Trainer, you must stop using the logo from the date on which you ceased being registered/accredited, destroying any unused stationary carrying the logo.
  1. The logo must be accompanied by one of the following statements
  2. A Portage Service registered with the National Portage Association.
  3. An Accredited Trainer with the National Portage Association.
  1. The logo should be positioned at the bottom of your stationery.
  1. The size of the logo is limited to the three examples below.
  1. The logo should be printed in the colours listed below or in Black and Grey.

Under no circumstances should the logo be used by any other third party or in any other capacity. The Association will not hesitate to take action against anyone whom it believes is using its logo without its permission or is in breach of these conditions. Proofs should be sent to the NPA officefor approval prior to printing (address published in Portage Post).

Gift Aid

If you pay income tax or capital gains tax, the NPA can reclaim the tax (at the basic rate) which you have paid, on any donation (including membership subscriptions) made to the NPA on or after the 6th April 2000. There is no lower limit and declarations can be made retrospectively (i.e. up to six years after the date of the donation).

Declarations can be made by completing the following form or by telephone (01212 441807). Declarations made by telephone (verbal declaration) will be confirmed in writing by the NPA. If you cancel a verbal declaration within 30 days of receiving the confirmation, the cancellation affects all donations made under the verbal declaration. If cancelling after the 30 days have elapsed your cancellation will apply to any donation made on or after the date of cancellation.
