WELCOME TO THE DALLAS RACQUET CLUB

The Dallas Racquet Club (DRC) is a volunteer, non-profit organization dedicated to promoting tennis and social activities for single adults in the Dallas/Fort Worth area. DRC also hosts monthly tennis tournaments and various social activities throughout the season.

SEASON: Begins first Thursday in April and ends the Thursday immediately preceding Thanksgiving.

WEEKLY PLAY SCHEDULE: Thursday nights from 7:30 pm to 9:00 pm.

MEMBERSHIP

NEW MEMBERS

a.  In order to become a member of DRC, one must:

b.  Be 25 years of age or older and legally single.

c.  Have visited official play three (3) times during the present tennis season.

d.  Submit a signed application for membership to the Board of Directors.

e.  Receive the affirmative vote of at least two-thirds of the Board of Directors voting.

f.  Pay the required dues as established by the Board of Directors (prorated if joining after April 1).

DUES

The Board of Directors establishes dues. The membership year is April1 to March 31. Two dues options are available to members – Prepaid or Pay As You Go.

Prepaid dues cover all weekly tennis fees for the season; no further dues are required. Prepaid dues for the season may be paid in full upfront or in two installments by April15 and by July 31.

Pay As You Go dues offer a lower upfront cost, but require an additional fee each week you play.

MEMBERSHIP RENEWAL

a.  Be a single man or woman agreeable to the stated purpose of the club.

b.  Dues paid by designated dates.

INJURED RESERVE STATUS

A member may petition the Board of Directors in writing for injured reserve status lasting up to one (1) year if injury or illness prevents the member from participating in official play. A person receiving injured reserves status:

a.  Pays half dues, prorated for the time member is granted injured reserve status.

b.  Retains all other rights of membership.

c.  Must inform the Board of Directors in writing when ready to return to active status.

d.  Forfeits membership unless he or she returns to active status by the end of one year.

REMOVAL OF A MEMBER

Removal of a member may occur by a unanimous vote of the Board of Directors after review.

RATING COMMITTEE

Ratings within DRC should be referred to the Vice President.

OFFICIAL PLAY

Official play is held each Thursday night at Greenhill Tennis Center, located at 4141 Spring Valley Road, Addison, TX (northwest corner of Midway and Spring Valley Roads). Play is from 7:30 p.m. until 9:00 p.m., weather permitting. Members sign up by 7:15 p.m. Court availability is on a first-come, first-served basis. Guests will be assigned courts at 7:15 p.m.

a.  First person signing on a court establishes the level of play for that court.

b.  Members sign up on a court at their established rated level or below.

c.  Guests will be assigned to courts according to their stated level by flag person after paying guest fee.

GUESTS

a.  Guests should arrive at Greenhill by 6:30 p.m.

b.  First four guests are assured a spot to play.

c.  First-time guests play for free

FLAG DUTY GUIDELINES

a.  Arrive at Greenhill Tennis Center by 6:30 p.m.

b.  Prepare the Blue guest register and Pink court assignment register.

c.  Fill in date on each sheet.

d.  On the Pink court assignment register add the court numbers.

e.  First four (4) guests are guaranteed play. Collect $5.00 from each of these guests.

f.  First time guests are guaranteed to play and play for free.

g.  Have guests sign the guest register with their name, address, phone numbers, email address, and rating.

h.  Have members sign up on court assignment sheet. First member to sign up on court determines the level of play.

i.  Members must sign up by 7:15 p.m. to be guaranteed play for that night. Members must be present for other members to sign them on courts (unless it is a pre-arranged match. See below).

j.  At 7:15 p.m. call names of remaining guests in order from the sign-up sheet.

k.  Collect $5.00 from each guest.

l.  Assign guests to a court at their level. Be sure guests are on courts with members.

m. Place money in bank bag. Treasurer will collect.

n.  Give guest sheet and court sheet to membership chairman.

o.  Pass out balls to first person on court as designated.

p.  Pack up all materials in DRC box.

PRE-ARRANGED MATCHES

a.  Members may set up pre-arranged matches with other members or guests.

b.  At least one member must appear in person and designate a court for a pre-arranged match.

c.  One member can sign up the other 3 players for the court prior to their arrival.

d.  Each player must initial his/her name on the court sign-up sheet and must pay all appropriate fees when they arrive.

e.  Each player must arrive no later than 7:15 p.m. to secure his/her reservation. If any player fails to arrive by 7:15 p.m., the Flag Duty person has the right to replace that person with another player.

GREETER DUTY GUIDELINES

One of the most important functions for a DRC member is to perform greeter duty. Our club’s growth and survival depend on the way we make our guests welcome. Greeters are important in familiarizing our guests with our club.

GREETERS SHOULD:

a.  Be at Greenhill Tennis Center by 6:30 p.m. on Thursday night.

b.  Make yourself a name tag.

c.  Get guest information at flag desk.

d.  Be sure guests have a name tag.

e.  Try to greet all guests and members.

f.  Ask guests how they heard about DRC.

g.  Ask guests if this is their first visit.

h.  Explain membership procedures (attend three times and submit an application).

i.  Make as many introductions as possible.

j.  Find someone for them to warm-up with on the court.

k.  Invite them to attend after tennis “get together” at designated place.

Please focus on the guests, rather than visiting with your friends, for this short period of service to DRC. Remember that you may be the first DRC person the guest will meet. First impressions are important. Sign up on a court with a guest if possible.

TENNIS PROTOCOL

Dallas Racquet Club wants each member and guest to enjoy the game of tennis. The highest type of sportsmanship and courtesy are expected from every player. Players are under obligation to avoid acts which are unsportsmanlike or adverse to the game of tennis.

a.  Wait until a point is over before walking behind a court where a match is in progress.

b.  To retrieve a ball from another court or to return a ball to another court, wait until players have completed a point.

c.  Players should present a neat appearance and abide by local dress regulations.

d.  Loud, abusive, or profane language, racquet throwing or hitting balls indiscriminately is prohibited.

e.  Making distracting noises, waving racquets or arms is unsportsmanlike conduct.

f.  Be considerate of a partner or opponent whose tennis skills are less developed than your own. Avoid making abusive or otherwise unwelcome comments or criticism.

g.  Do not stall, sulk, or complain.

CONSTITUTION AND BYLAWS
OF THE
DALLAS RACQUET CLUB

ARTICLE I – NAME AND PURPOSE

The name of the club shall be the Dallas Racquet Club as recorded with the Dallas County Clerk, Assumed Name Section, Records Building, Dallas, Texas, in July 1989. It must be renewed every ten years. The purpose of the Dallas Racquet Club (the “Club”) shall be to promote and provide tennis activities and social functions for single men and women.

ARTICLE II – ACTIVITIES

1.  Thursday evening organized play shall be provided beginning the first Thursday in April through the last Thursday before Thanksgiving. Tennis play shall be held at facilities approved by the Board of Directors. Participation in Thursday organized play or DRC sponsored tournaments and trips shall constitute official play for attendance purposes.

2.  The Club shall provide tennis/social events and other activities as determined by the Board of Directors.

ARTICLE III – OFFICERS

1.  The officers of the Club shall consist of President, Vice President, Secretary, and Treasurer.

2.  The term of the office shall be January 1 through December 31.

3.  The duties of the officers shall be as follows:

a.  President – The President shall be the chief executive. He/she shall preside at meetings, serve as Chairman of the Board of Directors, rule on procedures and jurisdiction, summarize decisions, appoint special committees, authorize payment of bills and coordinate various activities of the Club. In any meeting of the Board of Directors (as provided in Article III), the President shall be empowered to vote on membership applications; otherwise only in the case of ties.

b.  Vice President – The Vice President shall aid the President in his/her performance of duties, officiate in the absence of the President and direct official play.

c.  Secretary – The Secretary shall handle all correspondence, record the minutes of meetings and perform any other duties pertinent to the office. The Secretary shall renew the name, Dallas Racquet Club, in July 2009 and every ten years thereafter.

d.  Treasurer – This officer shall be responsible for keeping financial records and reporting the financial condition of the Club.

4.  The requirements of the officers for election are as follows:

a.  Officer shall be a member in good standing.

b.  President shall have served on the Board of Directors at least any one year prior to assuming office.

ARTICLE IV – BOARD OF DIRECTORS

1.  The Board of Directors shall consist of the four elected officers and other members in good standing (as defined in Article V, Section 5b). The Board of Directors is the governing authority of the Club. It is empowered to perform all acts necessary in the conduct of Club business except those acts specifically assigned to the individual members of the Board of Directors. The Board of Directors may, in its discretion and by majority vote, empower any individual board member to perform specific or general acts in connection with conduct the activities of the Club. All acts, resolutions, transactions, and other decisions of the Board of Directors require a simple majority cast in a duly constituted meeting of the Board of Directors unless specified elsewhere in this Constitution.

2.  The President will appoint other members of the Board of Directors.

3.  The term of office for the members of the Board of Directors shall be, but not limited to, the calendar year.

4.  The duties of the Board of Directors include the following:

a.  Membership – shall be responsible for maintaining an active roster of all members and keeping the attendance record of official play.

b.  Newsletter – shall be responsible for publishing the newsletter.

c.  Tournaments – shall be responsible for setting up and directing tournaments as authorized by the Board of Directors.

d.  Socials – shall be responsible to organizing all parties and special social events for the club.

e.  Ex-Officio – shall be the immediate past president and act in an advisory capacity.

f.  Others – as designated by the President.

5.  Removal of a member of the Board of Directors may be initiated by another board member. A unanimous vote by the other board members is required for removal.

6.  In the event of a vacancy on the Board of Directors during the term of the directors, the President shall appoint another member in good standing to fulfill the term. If that vacancy is an officer, the President (or the Vice President, if the vacancy is the President) shall submit a nomination to fill the vacancy. A majority vote of remaining board members is required.
