Symphony Profiler Configuration Punch List

This document describes the steps needed to configure Symphony Profiler for optimal performance, and to ensure that the system works reliably.

Background

Symphony Profiler is a software application that enables an employee to make a Worldox “reservation” for a paper document.

The employee associates a barcoded cover sheet with each document for which they make a reservation. The user can then batch scans an entire stack of documents (each document with its corresponding cover sheet) to a monitored folder (or folders, depending on the firm) on the network. Symphony Profiler watches each monitored folder for new documents. Based on the information associated with the barcoded cover sheets, Symphony Profiler automatically parses out the cover sheets and files each individual document to its correct location in Worldox.

The Symphony Profiler system consists of a number of components:

·  Symphony Profiler Workstation – allows users to make Worldox filing reservations

·  File server – contains network shares for scanned files to be saved to

·  Symphony Profiler Processor – monitors input folders for newly scanned files and fulfills reservations

Before Getting Started

r / Determine which user(s) will be the Symphony administrator (i.e. the go-to person at the firm when other users have questions about Symphony)
r / Please confirm that Opportunistic Locking and SMB2 have been disabled on your file and application server(s) by following the instructions in the following knowledge base article:

Why: Opportunistic Locking on the server has caused issues for many sites. The Server Message Block (SMB2) file-sharing protocol used by the latest generation of Microsoft Windows products may cause data corruption and seemingly random application lockups.

Configure Network Scanners

If your firm uses network scanners, please complete this section.

r / Configure all network scanners so users scan Symphony related documents to a dedicated scan path (you’ll assign this scan path (“Monitored Folder”) in the Configure Monitored Folders section below)
Tip: All users can scan to the same scan target folder.
Tip: As part of installation, Symphony Profiler has created a network folder at Trumpet\SymphonyProfiler\Server\Input that you can use, or set up a different folder in a location of your choosing.
r / Configure all network scanners so users scan non-Symphony related documents to another target
Note: Please do not ignore this step! It is critical that users only place Symphony related scans in the Symphony monitored folder(s). If generic scans or other documents are placed in the Symphony folder, the user will receive error messages.
Why? Symphony considers an unprocessed input file as an error, and will send alert emails to the firm’s Symphony administrator. If the firm saves non-Symphony documents to the folders that Symphony monitors, it becomes very difficult for the user to determine when there actually is an error condition.

Configure ScanSnap Scanners

r / If your firm uses Fujitsu ScanSnap scanners, use the procedure described in the following article to configure a dedicated Scan Profile for Symphony. This will allow users to scan directly to Symphony using the push button on the scanner

Configure Monitored Folders

Symphony Profiler monitors a set of folders for input files. Input files are scanned with a corresponding cover sheet that contains a barcode and a reservation ID. The reservation ID is compared to filing reservations made by users throughout the day. When a match is found, the reservation is fulfilled.

If your firm uses a network scanner, you should have already configured your scanner to place Symphony related scanned documents into a dedicated Symphony Profiler folder on your network.

Note: Symphony Profiler is already configured with one default monitored folder: X:\Trumpet\SymphonyProfiler\Server\Input (where “X” is the network drive to which Symphony Profiler is installed).

r / Notify users of the procedure(s) they should use to scan documents into the monitored folder(s)

Configure E-mail Notifications

It is important for at least one user in the firm to receive daily notifications of the status of the Symphony Profiler Processor. This will alert them of overdue or unmatched reservations, documents that may be missing pages, or if the Symphony Profiler Processor is disabled for any reason.

Note: Having e-mail notifications configured is critical to the long-term reliability of Symphony Profiler.
