Policies and Procedures

  1. Safety of clients: It is our priority to maintain safety for all clients while in treatment. Adults bringing clients into therapy need to assume responsibility for supervision of their child, unless in the treatment space with their therapist.
  2. Pick up/drop off: Please be sure to pick up and drop off your child in the waiting room. We require all parents/caregivers to wait with their child until picked up by the therapist. If someone other than a parent will be picking up your child you will need to notifyeither the office manager or therapist, we will not release your child to any unauthorized person. If your child is left unattended for 30 minutes following a session and we are not able to confirm a ride, proper authorities will be notified.
  3. Time of treatment: 5 minutes prior to the end of a treatment session, your child and their therapist will join you in the waiting room for collaboration. We ask you are in the waiting room 10 minutes prior to the end of the treatment session for this reason. Collaboration will include home programmingand other updates. If additional time is needed to collaborate with the family please indicate this to your therapist at the beginning of the session. Collaboration will take place in the waiting room, unless family requests a more private setting. If you would like a more private setting please let your child’s therapist know in advance.
  4. Attendance policy: In order to maintain professional courtesy for our therapists we ask that cancellations be made 24 hours prior to scheduled appointment. We encourage parents and caregivers to reschedule missed or cancelled sessions to maintain consistent treatment optimizing your child’s progress. It is Metro Therapy’s policy to discharge clients following 2 consecutive no-show treatment sessions. We reserve the right to bill client/family a $35.00 missed session fee per session for any no-show or session that is cancelled with less than 24 hour notice with the exception of acute illness.
  5. Clinic Closures: Metro Therapy closes in in observation of the following holidays: New Year’s Day, Memorial Day, 4th of July, Labor Day, Thanksgiving and Christmas. We are open for all other school closure days, including other holidays and breaks. Metro Therapy will remain open if the local school districts are closed due to weather, please check our facebook page for updates on any clinic closures.
  6. Sick policy: For protection of the therapists and other clients, please reschedule your child’s treatment session(s) if they are in a contagious stage of any illness or not currently on medication for their illness. We require clients to be vomit and fever free for 24 hours prior to returning to treatment sessions. If your child does not attend school or daycare that day due to illness, please cancel and reschedule treatment sessions.
  7. Parent involvement: We recognize the knowledge,expertise and creativity of families involved in this program. It is our goal that parents share ideas, insights and resources with the therapist in order to help develop programming and refinement of goals. Please bring any feedback to us about how your child is responding to treatment, questions or concerns, progress with home programming etc. We strongly recommend compliance with home programming and weekly homework sent home by therapist to promote generalization of skills across all environments, improve sensory modulation and the speed/rate at while children progress towards their goals.
  8. Parent communication: Treatment plans will be provided every 90 days to parents or caregivers. Therapist will consult in depth with families and other professional as needed prior to generating a 90 day treatment plan. Collaboration occurs in a variety of ways including; face to face, over the phone, e-mail, written notes or letters and fax.
  9. Privacy: Due to privacy concerns, phones, smart watches and similar devices are no longer allowed in the room during therapy sessions or conferences without the express written consent of all parties. We recognize the need to call or text during sessions and politely request you do that in the lobby or outside.
  10. Siblings: Parents, please be aware of client’s siblings or other children whereabouts and action while they are in the waiting room of the clinic. We ask that you clean up after your children in the waiting room.
  11. Clothing: Clients participating in occupational therapy are required to bring play clothes (gym shorts and t-shirt). Therapists will send home clothes to wash as needed. Your child will have an individual bucket to keep clothing in that will be kept in the changing room.
  12. Toileting: If your child requires assistance in the bathroom, please let your therapist know, what level of assistance is needed. If your child is in diapers, you will be required to provide diapers and wipes (you may leave a small supply to keep in your child’s bucket). Therapist can and will assist children in the bathroom as needed, but at times may request caregivers to do this in certain circumstances.
  13. Restraints: Unfortunately, there are some times when it is necessary to restrain children from endangering themselves or others. Your knowledge, suggestions and feedback are most appreciated. The therapist working with your child will use their best judgment in these situations and will follow up with family immediately following any situation requiring restraint. You or a caregiver may be required to sit in on therapy sessions if consistent restrain is required.
  14. Payments for services rendered: Metro Therapy utilizes Great Lakes Medical Billing for all patient statements, you are encouraged to contact them directly should you have a question regarding your monthly statement. Payments should be made directly to Metro Therapy within 30 days. Interest will be charged at a rate of 10% on balances over 60 days.
