Business Writing: The Email

Correctly written emails are important if you want to be taken seriously in a business setting. Establishing the appropriate tone is just as essential as checking for proper grammar and content. Follow these 10 tips in writing an effective, professional email:

1. Write a brief, meaningful subject line that conveys the content of your message. Include a salutation as well.

2. Put your main point in the opening sentence. Be clear and concise.

3. Donot use all uppercase or all lowercase letters.

4. Avoid the type of abbreviations you might use in a text message to a friend.

5. Remember to say "please" and "thank you." Avoid using imperative (command) sentences.

6. Identify yourself clearly. You may add a signature block with appropriate contact information. In most cases, this includes your name, business address, and phone number, along with a legal disclaimer if required by your company.

7. The tone of your email is usually affected by your word choice. Match the tone to the person or situation. Re-read your email as though you were the recipient. Make sure it sounds as you intended.

8. Remember that emails may not remain private; for example, it may be forwarded.

9. Use an appropriate size and font for your email. Generally, 12 pt. Arial or Times New Roman is appropriate for professional emails. Do not include any emoticons.

10. Proofread before you send out any correspondence.Perform a spell check. Just as in any other formal writing, avoid contractions and check for correct punctuation and word usage.
