Fairfax Little League Board Meeting Minutes, June 3, 2015

Meeting called to order at 8:35pm.
- May Meeting minutes were approved.
- Execution/Treasurer Report: The execution report was approved. Carl mentioned that the snack bar is at 88% of budgeted expenses and 60% of revenue.
- Review of AprilAction Items
- Who is in contact with SYA for special minors tournaments? Dave Peters is coordinating.
- Scott will place the order for trophies this week. Done
- Suggest a meeting with Will, Presidents, and others to review the umpire assignment process. Still working.
- Kevin will provide a count of trophies needed for spring. Done
- Need to identify Intermediate/90’ lead. Still working.
- Alex will reach out to current managers for interest in managing fall ball. Done
- Follow up on Cell Tower Contract: Mark Murphy review. Need to get insurance for the land.
- End of season tournament plans: American is all set except Jrs need to finish filing the forms. National Majors tournament will be tight if there are ANY rainouts. There was a discussion about possibly doing a “City” tournament next year between American and National.
- All star plans and special minors coordination:Umpires are needed for the special minors games. All star pictures will be 6/28.
- Vote on All Star managers and coaches: All managers/coaches were approved. See lists to follow.
- President’s Report: The 60th anniversary celebration will be held next years since games actually started in ’55. There will be no July Board meeting. Each Board member is asked to provide documentation of his/her position’s responsibilities by the end of July. This is critical to the ongoing success and efficient execution of Board functions.
- Individual League Updates
- Juniors/Seniors/Intermediate: Seeding for Juniors tournaments is being discussed.
- National League: Got player commitments for all stars. Concussion training is required for all all star managers and coaches. BCC will be using Burke Field on June 27th for a movie night.
- American League: All star teams are all chartered. Need to remind game coordinators to go to the plate conference and identify themselves at the beginning of each game. Everything is set for Volunteer Appreciation Day. Hard Times may donate hot dogs. American needs a new Player/Agent and Director of Tball/A.
- Challenger: no report
- Functional Reports
- Fall ball: Still need to identify Intermediate/90’ lead.
- Concessions: no report
- Public Relations: no report
- Scheduling: tournament scheduling is being worked. Brandon will get practice schedules posted on the website.
- Safety: No injuries were reported this month. There were reports of a vagrant at Rodio. We need to continue to remind parents/coaches/players about the dangers of lightning and the lightning rules.
- Coaching Coordinator: Dick’s will hold coaches’ training on August 29th.
- Player Development: Jay has developed a manual on levels/key skills to teach at each level of player development. He will email out the document for review.
- Fundraising/Capital Campaign: no report
- Volunteer Coordinator: Colin will set up a signup genius for volunteers for all star games.
- Sponsors: no report
- Umpires: Managers and coaches are reminded to familiarize themselves with tournament rules. Local rules do not apply at the District 10 tournaments. We are in need of more 90’ umpires. AAA umpires have done a good job this season.
- Equipment: Brandon will place the order for all star practice shirts. Extra hats will be ordered. Special Minors will not have names on their shirts. 9/10 and above will have their names on the shirts.
- Fields and Grounds: All field applications have been submitted for the fall. Minor holes at Burke in Centerfield fence have been fixed. Mower at BB is almost dead. Chilcott will be fixed before all stars. Trees at Chilcott need to be trimmed before all stars. Providence dugouts are done except for shingles.
- Registration/Information Officer: Need to find a replacement for Randy for Information Officer.
