STATEMENT
Under-allotted periods are allocated to teachers who have not been given the maximum allotment as defined by the local agreement. A teacher can expect to be allocated under-allotted periods up to the maximum allotment per cycle. The maximum allotment for a full time staff member at HPSC is 46 teaching periods per cycle.
Extras are allocated to teachers in order to cover classes when a teacher is absent or unavailable. Up to the equivalent of one extra per cycle can be allocated to a teacher in accordance with the local agreement. Second extras may be given in exceptional circumstances and the Principal will be notified.
In Lieus are allocated to teachers when they are not required for their timetabled class. The class may be away for an excursion, exam or other activity. A teacher may be allocated an in lieu, which is not counted as an extra, at any time on the day that they lose their class.

To ensure an equitable allocation of extras, under-allotted and in lieus.
GUIDELINES
The following guidelines will be adhered to in relation to the extras & in lieus at the College:
Allocation Protocol
The following protocol will be used in determining extras, in lieusand under-allotted periods with a view to achieving equity.
- In Lieu periodsand under-allotteds will be allocated in an equitable manner.
- To achieve equitable distribution of classes, the total number of face-to-face teaching periods for each teacher (taking into account time fractions) will be taken into consideration and those with the least teaching periods will be allocated first, whether this is an under-allotted or an in lieu.
- Over-allotted teachers will be last to be considered for the allocation of in lieu periods in recognition of the fact that they are effectively working one or two extras per cycle.
- Under-allotted teachers should be given an under-allotted class or in lieu before extras are allocated to teachers on the maximum allotment. This may mean that an under-allotted teacher may be allocated a four-on day and/or may be allocated more than one class on some days.
- In the allocation of extras, preference will be given to the teacher who has completed the least number of extras to date. This also may mean that some teachers may be allocated a four-on day.
- One period will count as 1.0 extra/under-allotted/in-lieu
- If a teacher has a partial under-allotted value i.e. 0.6 under-allotted, when a full class is given, the time will be reflected as the partial under-allotted and a partial extra. Example: 1 period equals 0.6 under-allotted and 0.4 extra.
- In exceptional circumstances, a teacher may be asked to undertake a secondextra in a cycle. If this occurs the Principal will be notified, and will then contact the affected staff member after consultation with the AEU sub branch member.
- In exceptional circumstances, a teacher may be taken off a yard duty to allow them to be available to take a class.
- Extra yard duties will be distributed in an equitable manner across the cycle.
Teacher Responsibilities
- It is a staff member’s responsibility to inform the Daily Organiser, by either writing in the Daily Org book ahead of time or by calling the absence line before 7.15am on the day of absence, if they know they will not be present to take their class and we urge that theyleave meaningful work for their students. However, when staff absent is due to school business staff must leave a comprehensive lesson plan on compass.
- Absences and meetings will not be accepted via email.
- It is a staff member’s responsibility to inform the Daily Organiser, as early as possible, if they are taking personal leave. A teacher should leave meaningful work for their classes whenever possible.
- It is the responsibility of the replacement staff member to collect the work that has been left and to ensure that students complete the work; the work should then be returned to the class teacher and feedback should be left in the Teacher Notes section of Compass.
- It is important that the Daily Organiser (DO) is informed well in advance of professional development, excursions, sport and other activities, or approved time release so that CRTs can be booked for employment.
- It is a staff member’s responsibility to ensure that meetings are entered in the DO book ahead of time, and that they have Principal Class approval against them if they require coverage.
- The relevant approval documentation must be completed before any teacher coverage requirements are entered into the DO book. Only the AP in charge of PL or the PLLeader has the authority to enter time release for professional development.
Policy During Examination Periods
- Examination supervision will be counted as an in lieu and will be allocated, as equitably as possible, to teachers who have lost their class/eg due to the scheduling of examinations.
- VCE Unit 4, November Examination Period
- Replacement classes may be allocated as an in lieu up to 80% of periods.
- Replacement classes may start on the day the Year 12 exams start, but not before.
- VCE Unit 1 & 3 June Examination Period
- All Unit 1 & 3 teachers may be allocated an in lieu up to 100% of periods per class lost.
- Year 10 Advanced Placement students in Unit 1 studies will attend supervised private study in a designated room.
- VCE Unit 2, November Examination Period
- All Unit 2 teachers may be allocated an in lieu up to 80% of periods per class lost.
- Year 10 Advanced Placement students in Unit 2 studies will attend supervised private study in a designated room.
- During an exam period when classes have been cancelled for an extended amount of time, in lieus may be allocated at any time across the cancelled period, not just on the day of the cancellation.
- The above is providing it does not exceed the maximum allowed face to face time (20 hours/16 periods per week pro rata)
End of Year
- In the case where year level classes have been cancelled due to the end of year, in lieus may be allocated at any time over the cancelled period, not just on the day of the class

- Teachers may be allocated up to 80% of classes lost
Work Experience
- In Term 2, Year 10 students participate in a work experience placement for one week.
- Year 10 teachers are encouraged to visit students during their Work Experience placement and to speak with their students’ work experience supervisor.
- A Work Experience visit is defined as a visit to a workplace e.g. a hospital, Target, and a teacher may visit 2 or 3 students at that workplace.
- Teachers are to complete a Work Experience Visit Slip which must be given to the Daily Organiser at least 24 hours in advance of the visit
- Work experience visits within the local area: 1.5student visits = 1 in lieu class.
- Work experience visits must not leave classes or yard duties to cover.
- All formal meetings, including staff briefings, must be attended.
Extras, In Lieus and Under-allotted periods Tally
- A tally of all extras, in lieus and under-allotted periods will be distributed to ELT after each cycle.
- Staff can access their data on the Daily Organisation section of the timetable.
EVALUATION
This policy will be reviewed every three years, with recommended changes being presented to College Council.
