Christmas at the Lake is a fundraiser for the Prospect Lake District Community Association

SHOW
This is the 10h annual Christmas at the Lake Craft Fair held in the Prospect Lake Community Hall at 5358 Sparton Road. In 2017 this fair attracted 948 shoppers, excluding children and volunteers. We undertake a publicity campaign through community calendars, posters, road signs and e-newsletters to previous visitors, as well as connecting with the community through community channels.

Christmas at the Lake Craft Fair is a juried show. We endeavour to present our visitors with the widest range of craft products possible to create an interesting shopping experience and give each exhibitor the opportunity to optimize their sales.

SETUP
There are two setup times. The hall will be open from 4-7 pm on Friday, November 3for you to begin your setup. On Friday you can use the door closest to your booth, which will make for a convenient move-in. On Saturday morning the doors open at 8 am for setup. If you choose to set up on Saturday please note that you need to move in quickly or only enter through the front entrance to keep the heat in the hall. Please unload your display and merchandise and then follow the plan to move your vehicle off-site to provide parking space for customers. Please be ready for the doors to open for the public at 10 am. Last year people were lining up before 10 am. Please do not dismantle your booth until closing at 4 pm.

We encourage you to create an attractive and engaging display. You are requested to drape your table to the floor, display product at varying elevations and use interesting props. Your display must be freestanding and confined to your area. Nothing may be attached to any wall with anything other than painter’s tape. You may use the hooks on the picture rail.

Exhibitors are requested to make a contribution of their craft to the door prize baskets. The door prize slips are our primary method for collecting contact information for the visitors.

FOOD & BEVERAGE
There is a food & beverage service in the Meeting Room at the back of the hall. Coffee will be available to exhibitors during set-up as soon as it is ready. Food can be purchased during the day.

COST & OPTIONS

□$50 for 6’ table with chair(s)

□$60 for 8’ table with chair(s)

□$20for extra space if you have a display item to place beside your table. Please describe it and provide dimensions so you can be placed appropriately

□If you have any special requests regarding location, placement beside another exhibitor ... there is a space to make your wishes known on your application.

□Power is available for perimeter booths only. Please ensure that youtick the appropriate box on your application if you will need power.

□Completed application form

□Cheque for the full amount made out to Prospect Lake District Community Association

□Photos of your product included in the application (they will be returned on the day)

OR reference to website, ETSY store, Facebook page

PROCESS

Applications will be collected February to June. Review of the applications will occur in June and you will be notified by early August at the very latest. You are requested to send your application directly to the organizer, Barbara Newton at 139 Estelline Road, Victoria, BC V9E 1K5

AGREEMENT

In submitting your application to participate in the Christmas at the Lake Craft Fair you agree to

the following terms:

  • The fee will be returned if you are not accepted for the show
  • The fee will be non-refundable after September 15, 2018
  • If the show producers are forced to cancel the show due to unforeseen circumstances, you will receive the full refund of your fee, but agree to make no further claim for compensation against the PLDCA
  • You agree to be fully responsible for any damage to the facility incurred by yourself or any persons connected with your display
  • You agree to offer for sale only Canadian made craft, art or food items originated and produced by yourself. You will not offer for sale any commercial or resale items
  • You agree to release the PLDCA and its representatives from any responsibility in the case of loss or damage to your goods or possessions
  • You agree to not to hold the PLDCA and its representatives responsible in the event of a claim by purchasers of your goods which prove to be defective or which cause injury or damage.

At the end of the show exhibitors are asked to complete a feedback form. This helps our planning for future shows.
