POSITION TITLE Office Coordinator

REPORTS TO: Director, Academic Support Center

PRIMARY FUNCTION: Support the staff of the ASC in their professional duties by coordinating completion of clerical and support functions of the office; supervising all student workers; and maintaining office and budget records and supplies.

AREAS OF RESPONSIBILITY:

·  Serve as primary Academic Support Center contact with the college community and the public at the reception desk, on the telephone, and via the office email alias.

·  Schedule appointments for all professional staff members and student consultants/Learning Consultants.

·  In consultation with the ASC professional staff, complete all organizational duties associated with recruiting, hiring, assigning work, supervising, tracking hours and pay, and evaluating all student workers (e.g., Learning Consultants, preceptors, desk workers). Establish hours, schedules, and procedures. Maintain up-to-date and accurate records on all student workers’ coursework competencies, interests, and availability. Oversee ASC student staff policies and procedures.

·  In consultation with the ASC professional staff and individual faculty, complete all organizational duties associated with the assignment and provision of individual consulting for students and the scheduling of study skills and short-term consulting sessions with student Learning Consultants, Speaking Consultants and with writing consultants/preceptors the Writing Help Desk/English Language Learning program. Maintain student records in TutorTrac.

·  Assist in the delivery of accommodation services to students with disabilities (note-taking services, including identifying note-takers, communication with note-takers, payment, and record-keeping; alternate text process, including researching options, scanning, cutting, editing; letters of accommodation; alternate test-taking accommodations, including room reservations, email confirmation to students and faculty, distribution of exams to students and back to faculty.

·  Working in consultation with the ASC professional staff, and in compliance with FERPA and ADA requirements, maintain up-to-date, accurate, and confidential electronic records of students with disabilities and all students who make use of all of the services of the ASC. Archive student files as needed.

·  Advertise the services of the ASC and promote its use among students and instructors.

·  Track budget, including credit card, expenditures. Order office supplies. Keep office area and equipment ready for use. Distribute incoming and outgoing mail. Schedule rooms for meetings and events using Resource-25. Maintain the Academic Support Center/Student Accessibility Services websites. Provide general clerical services for professional staff members.

·  In consultation with the ASC professional staff, support program reporting and evaluation of ASC services and implementation of innovations.

·  Assist with the planning and organization of Week One events of the ASC and of the Academic Support Roundtable annually.

·  Undertake other assigned tasks that allow for the smooth functioning of all parts of the ASC office, both separately and collectively.

SUPERVISORY RESPONSIBILITIES:

EDUCATION: Essential: High school diploma

Desirable: Bachelor’s degree in relevant field

EXPERIENCE: Essential: 3 years of experience working in an office, minimum of 1 year of supervisory experience

Desirable: Experience working in a college or university setting and supervising student workers

KNOWLEDGE, SKILLS, ABILITIES:

·  Strong computer skills (Microsoft Office, database management, other office applications)

·  Ability to interact effectively with students, faculty, and staff and to supervise student workers.

·  Commitment to professional integrity, including knowledge of and commitment to upholding federal guidelines regarding confidentiality of student academic information (FERPA) and accommodations for students with disabilities (ADA).

·  Promptness, reliability, accuracy, and attention to detail.

PHYSICAL DEMANDS: Normal office demands

WORKING ENVIRONMENT: Busy office environment with considerable student contact over the phone, in person, and via email.
