Purpose and Objective of Post :
Under the direction Deputy Headteacher/ Business Manager provide routine general clerical and administrative support to the school and Pastoral system.
Assist a Pastoral Year Head with duties concerned with the support of that particular Year group.
Accountable to : GOVERNING BODY
Immediately responsible to: Business Manager
Relationships : (Internal / External)
Head Teacher, teachers, support staff, parents, pupils, LEA Officers and other outside agencies
Control of Resources :
Maintain stationery, materials, resources and general supplies as required.
DUTIES / RESPONSIBILITIES:
ADMINISTRATION DUTIES:
  • To be a contact for parents on pastoral issues for any Year group.
  • Provide administrative support to Heads of Year/Pastoral Year Manager using various IT applications (Word, Excel, Internet and Power Point).
  • Provide administrative support to Deputy Headteacher in charge of Pastoral.
  • Provide administrative support to the main school office if required.
  • Access SIMs to obtain data.
  • Using information provided by EWO/School Office, contact parents of specific students with regard to non-attendance.
  • In-putting of student attendance marks onto SIMS
  • Liaising with Connexions (Careers) for student appointments.
  • To be a contact for pupils who are unwell/upset/have personal issues and signpost them to the relevant HOY/PYM.
  • To record and update all pupils personal data using SIMS.
  • Daily reporting on Whole School detention.
  • Provide duplicate letters and reports to parents with parental responsibility if required.
ASSISTING RELEVANT YEAR GROUP (as above for that particular Year group plus….)
  • Assist relevant Head of Year with supervision duties.
  • Assist relevant Head of Year in the liaison and communication with relevant staff any individual student issues.
  • Report any untoward circumstances/behaviour issues to a member of Senior Leadership Team.
  • To ensure that the School’s Behaviour System of rewards and sanctions is actively promoted, including your role within that system.
  • To assist in any programme of extra-curricular and voluntary activities for the year group such as trips, charity work etc. in line with School Policies.
  • To be available to students within your Year Group at all breaks and lunchtimes. Also, immediately before and after school.
  • To meet with parents if required under the direction of line manager(s) in order to acquaint them with the school policy or to discuss the welfare and general problems arising with any particular student.
  • To communicate with parents and other outside agencies when necessary.
  • Under the direction of your relevant line manager to assist your direct line manager if required, with organisation of Meetings, circulating minutes and undertaking any follow-up action required.
  • To assist in financial arrangements for activities for the Year Group, e.g. assist in collecting monies.
  • Accompany teaching staff and students on visits, trips and out of school activities as required.
