Post Responsible for:Providing general administrative support to the SEN department and school.

Main Responsibilities:

  • Annual reviews –In September, negotiate dates for AR meetings with SEN teachers/parents/Careers – inform County/parents/HoY/outside agencies - prepare forms (name, dob, address etc – targets from last review) - approx 6 weeks before AR date ask staff for comments – when SEN teacher has written report, proof read and get Head’s signature - distribute School report to HoY, County, outside agencies and parents (together with Parent Comments form) – invite LSA to AR meeting - attend meeting and take minutes – write up minutes in AR Meeting Report and ask SEN teacher to finish off – proof read and ask SEN teacher to sign – distribute AR Meeting Report, School Report, Parent Comments, Pupil Comments, IEP and outside agency reports (ie Careers) . Close negotiation with Careers re interviewing statemented students in years 9, 10, 11, 12 and 13 – organising rooms, students etc. Updating SIMS AR data.
  • IEPS - prepare review forms and set them up for staff to completeevery 6 months in Staff Resources – email staff to remind them of the 2 week period allocated for them to complete – send reminders and chase outstanding staff. Proof read IEPs, adding attendance, RA & SA and dates when not updated – inform SEN staff if not completed etc. Distribute to parents, HoYs. File copies in SEN files. Attach students’ electronic IEPs to SIMS. Look at how we can stream line this to make the process quicker and more effective .
  • Inclusion register – keep up to date – set up new year 7 and update other years – update Index to Travellers, yrs 10 & 11 vocational courses, EAL list, In care History, Young Carers, Eligibility to Free Meals, Disability/Medical List, Students who carry Epipens, Cope students and Pupil Premium students - review every 6 months with SEN staff. Create new year 7 list with descriptors and update other years.
  • Traveller work packs – liaise with parents, staff and Traveller Field officers.
  • Attend teaching team meetings to take minutes and contribute to discussions.
  • Organise filing and electronic records to make it easy for staff to locate information.
  • Keep relevant staff informed of any important issues under SENCos direction.
  • Primary liaison – arranging visits for SEN teachers and LSAs
  • Running the transition programme – preparing work booklet and organising groups to visit.
  • Liaising with primary schools
  • Distribute test papers
  • Adding information from primary schools to Inclusion Register
  • Helping out with manning the support centre if required
  • Liaising closely with the SENCo and the SEN team.
  • Preparing paperwork for statutory assessments
  • Ensuring addresses of outside agency contacts are up to date
  • Liaising with Inclusion Manager re Travellers and Inclusion Register
  • Keeping student data up to date – ensuring Sims, progression data, IEPS and Inclusion register all agree.Keep Progression Evidence in SENCo updated. Keep Intervention Timetable in Staff Resources updated. Keep SIMS updated. Keep Inclusion Register updated.
  • Entering data - reading and spelling results
  • Liaising closely with SENCo and SEN team.
  • Exams - reading and scribing
  • Filing

To carry out any other duties as may be reasonable by the Headteacher, Members of the Senior Leadership Team and HR Manager.
