POST TITLE: SITE MAINTENANCE MANAGER

GRADE: GRADE 7 Spinal Point 22-25 (£20,456-£22,434 per annum)

HOURS OF WORK: Two shift pattern variable 6am-2pm and 2pm-10pm

FULL TIME/PART TIME: 37 hours per week full time

Hours of work will vary and includes evening, early morning, weekend and bank holiday work as the service demands and is a requirement of this post

POST STATUS: Permanent (subject to 6 month probationary period)

JOB PURPOSE

To support, plan, co-ordinate and direct the work of the site maintenance and cleaning team to ensure continuity of business operations, that the academy site meets health and safety requirements, that facilities comply with legislation are well maintained and secure and that our staff, students and visitors are kept safe at all times. To respond appropriately to emergencies or urgent issues as they arise and deal effectively with the consequences.

To oversee building projects, schedule work and manage external contractors working on site whilst ensuring minimum disruption to core activities.

KEY RELATIONSHIPS
The post holder will be responsible to the Business Manager, and required to liaise effectively with staff, students, parents, visitors, partners, premises hirers and clients and ensure that an excellent service is provided.

PRINCIPAL DUTIES AND RESPONSIBILITIES

§  Take overall responsibility for the safety, security and maintenance of the academy site to ensure continuity of business operations, that the academy meets health and safety requirements and that facilities comply with legislation.

§  To plan, coordinate, direct and support the work of the site maintenance and cleaning team and assist as required in their recruitment, selection, induction, training and appraisal.

§  To be the main point of contact and thereafter carry out agreed procedures in the event of fire, flood, breaking and entering, accident and other major damage.

§  Establish and maintain effective working relationships with students, staff, contractors, hirers and visitors to the site.

§  To oversee building projects, schedule work and manage external contractors working on site whilst ensuring minimum disruption to core activities.

§  To deal with instructions concerning the letting of the premises and to ensure proper arrangements for their use by the academy and the community outside normal academy hours.

Data Management including Health & Safety compliance record keeping

§  To use, action, monitor and keep up to date the daily computerised log of reactive and proactive maintenance tasks, working with and managing members of the site team to ensure efficient completion of all tasks.

§  To maintain and keep accurate and up to date electronic compliance data records, monitoring and scheduling annual maintenance tasks to ensure testing programme meets compliance standards and ensuring the building meets health and safety requirements and that facilities comply with up to date legislation.

§  To ensure that schedules of weekly, monthly and termly compliance checks are undertaken and that compliant and timely electronic records are kept for all completed checks.

§  To keep an electronic record of quotations received, maintain the electronic maintenance wish list and discuss the programme of site work to be scheduled with the Business Manager.

§  To check method statements, risk assessments and task instructions for all tasks completed on site and to maintain an up to electronic site risk assessment register. Check sub-contractors qualifications and certificates to ensure these are suitable for tasks being undertaken. To update annually, site specific risk assessments including; fire safety, grounds, premises and contents, including vandalism/arson, create action plans to rectify deficiencies and ensure these are carried out.

Security and Safety

§  Arrange for regular security checks to be undertaken, advise on how security risks can be minimised and be responsible for proper security of the academy site.

§  Manage fire safety equipment provision and scheduling of fire drills.

§  Manage provision of alarm systems, CCTV or surveillance equipment and PAT testing of electrical equipment.

§  Oversee the activities of external contractors on-site and ensure compliant working practices.

§  Liaise with police, security and surveillance contractors.

§  Act as principle key holder, respond to alarm and other callouts and make arrangements for the effective response to emergency call out at any time during the year, day or night.

§  Participate in the Health and Safety Policy of the Academy and rectify/report any dangers; hazards or other defects/issues that may be encountered.

§  Keep up to date with changes in Health & Safety legislation, ensure compliance is properly observed at all times, provide guidance for others in using correct working methods/practices, identify training needs and organise team and site wide training as required.

§  To manage cleaning of the academy site, carry out regular checks to ensure proper compliance with safe cleaning systems and a high standard of hygiene and cleanliness throughout.

Maintenance

§  Identify defects, undertake equipment maintenance checks (electrical, firefighting, lifts, ventilation, boilers, security systems etc.) and keep proper up to date records in accordance with current guidance/legislation.

§  Negotiate, arrange and supervise approved maintenance contract work.

§  Supervise specific refurbishment and building works projects and their associated budgets.

§  Undertake regular site inspections and carryout emergency, immediate and planned maintenance, repair, refurbishment and re-decoration works.

Other

§  Coordinate deliveries to the academy site.

§  Undertake budget monitoring & prepare costed plans for repairs/maintenance and building activities as required.

§  Undertake the duties of the Site Maintenance Assistants in their absence.

§  To be a key First Aider and provide first aid support if required (training will be given if needed).

§  To be responsible for general supervision and control of organised events, paying particular attention to legislative compliance, including the Health and Safety and welfare of people, the safety of the academy's assets and licensing requirements.

§  To assist at with car parking arrangements at Academy events if required.

§  To assist and support the Business Manager in producing information and reports for the Senior Leadership Team and Board of Governors including attendance at meetings if requested.

§  Carry out safety checks and be responsible for arranging the servicing, repair and MOT testing for Mini bus and various trailers held on the academy site and to drive the academy minibus if required.

§  To attend staff training and meetings as directed by Business Manager and Head Teacher or any person delegated by them.

§  To undertake any other reasonable duty which might from time to time be requested by the Head Teacher or any person delegated by them.

Has a relevant, current PAT testing qualification or is prepared to undertake / refresh training to achieve and maintain this qualification / ü

Knowledge & experience / Experience working in an educational setting or other relevant environment / ü
Minimum of 8 years’ varied construction experience / ü
A master of a least one trade / ü
Working knowledge of Health and Safety rules (i.e. importance of safe working practices) / ü
Basic understanding of joinery, wet trades, electrics, plumbing and heating systems / ü
Working knowledge of relevant policies/codes of practice. / ü
