Welcome!

We are excited about this year’s event. It promises to be an event that will be memorable to you and your youth. We also hope that you have an opportunity to learn more about Boy Scouts and will be excited about transitioning to a troop. This year we expect over one hundred 1st and 2nd year WEBELOS to attend. Before you Arrive: Registration, Forms & Cost

Registration will be at www.cpcbsa.org/register. Please print out or copy the WEBELOS Woods unit roster provided with this packet, or pick one up at Roundtable. Bring the completed roster to the registration area when you arrive to check-in to camp. Each unit must complete a roster.

Additionally, each scout must have a current medical form at camp.

Registration

The registration fee is $10.00 per person, for all or part of the weekend. This covers the patch, use of facilities and supplies for events and crafts.

Remember as of June 1, 2010 all registered volunteers must complete BSA Youth Protection Training, We encourage parents to complete this training as well. Youth Protection is available online at: http://www.cpcbsa.org/youth-protection

Each scout will need to have a current medical form at camp. Forms will be reviewed by the Camp Medical Officer, and unit medical forms may be held until checkout.

MEALS

Meals are available to WEBELOS Scouts, WEBELOS Leaders and WEBELOS Parents who are not camping or eating with a troop. If you are eating with a troop you won't need these meals. Early online registration is needed so we know how many people we are feeding. Four meals, breakfast Saturday through breakfast Sunday are provided at a cost of $20.00, Please, no prorates on meals. Meal Fee (No Prorates): $20.00 per person

PLEASE NOTE:

  • We are unable to accommodate Special Dietary Need requests. Bring your own food to meet any need you may have. Refrigerated and Dry Storage is available on a limited basis.
  • No noon meal on Sunday. You may want to provide a meal or snack before you depart for home.

Arrival & Registration

WEBELOS Woods will officially start with opening flag at 9:00 am on Saturday the 11th. We encourage you to arrive on Friday evening to enjoy the two night camping experience.

On Friday evening arrive between 5:00 and 8:00pm. Utility trailers are urged to arrive during the early part of registration on both days to ease the unloading process and traffic congestion.

We strongly recommend those bring utility trailers to arrive early to unload. Vehicles and trailers will not be allowed on the camping and activity field. Use carts and wagons. There is no substitute for many hands and feet to pack equipment to and from your campsite.

Friday 5:00 – 8:30PM

Saturday 7:00 – 8:30AM

Please have the first adult leader to arrive prepared to register with your roster and medical forms. Every unit must complete a roster and every scout must have a medical form. Late arrivals and guests, check-in at the dining hall upon arrival to camp.

There will be a brief Leader meeting on Saturday morning at 8:30 AM. At the meeting we will discuss the schedule and answer any questions. Please contact Erick Simmons for any questions regarding registration or special needs.

Parking

Our Parking staff will greet you at the entrance to Gilbert Scout Ranch and direct all parking. Parking at Butte Creek is limited. There is enough parking for the size of our event, but we encourage carpooling. The better we park, the shorter the walk for many. Utility trailers will be unloaded and parked in the lower area by the horse barn.

Campfires

If conditions permit we will have campfires. This will be determined by the local fire authority and the resident camp ranger. They must be above ground or in established fire pits. There is no firewood at camp for units. Be sure to bring your own firewood. We will be told by the ranger the week of WEBELOS Woods, so please be prepared either way. Pack it in, pack out, including all ashes and coals.

Camping

  • Reminder: Adults are not allowed to sleep in a tent with any youth that is not their child. Youth Protection Guidelines and Two Deep Leadership will be adhered to.
  • You can set your tents up on tent platforms. There are covered areas and picnic tables. It helps if everyone brings a chair of some sort. The ground may be wet. Make sure to bring sturdy food storage containers (metal is best) for snacks because as the Ranger tells us “The squirrels and Raccoons are bigger and hungrier, and better organized this year.”
  • BE PREPARED!!

All of the campsites are located on a hillside. The walk may be a bit difficult for some adults. Please let us know if you have special needs and we will try to keep you in the lower section of the campsites. If you have special needs, it is recommended that you register early to allow for better planning.

Camp Rules

  • Buddy System: Youth must stay with a buddy at all times.
  • Stay within the borders that are setup. Do not cross the borders for any reason without permission and supervision of a Staff member.
  • Do not enter other camping areas without asking permission each time. This is a common courtesy in scouting.
  • Only those scouts carrying their Totem or Whittling Chip can use knives.
  • Do not take wood of any kind from the wooded or brush areas. Not even for whittling use.
  • Use of axes is limited to Adults and Troop members in an ax yard.
  • The Scout Law is the Law of Camp. Discuss with your youth what it means to be a Scout and how to act accordingly.
  • Please, do not handle the materials set up in the event areas without the permission of the event staff.
  • Drink lots of water. Bring water bottles. This will help keep energy up.
  • Wash hands before eating and after going to the KYBO.
  • No Pets.
  • Use the “Leave No Trace” method. DO NOT litter or leave behind (even if hidden) any signs of fire.

Campfire & Skits

Saturday night we will have a campfire program. Please plan warm and rainproof clothing.

Food

Bring an appropriate amount of litter free portable snacks. Plan for your sanitation needs, including soap & towels for hand washing. Cutting boards bleach and washbasins will help secure good sanitation. Everything you pack in, you need to pack out, including all trash and any fire ashes and coals.

Events

Events will be self rotating this year. Find something you want to do that does not have a line, and go for it. There will be individual rewards for completing all stations, so don't spend too much time in line. The intent of WEBELOS Woods is to introduce the Scouts and their parents to the Boy Scouts. Troops and the OA will be doing their best to impress you, please be sure to see all that has been prepared for you.

Clean-up & Departure

After the closing ceremonies on Sunday, all units will need to clean up. Make sure to pick up all trash & other signs of your presence in camp. Scouts live by the principal of “Leave no Trace” we leave our area better than we found it. Do not dump briquettes, or ashes hot or cold, in the bushes. This is not a good practice and does not meet Leave no Trace principles. It also causes problems for our District later.

Please use the “Sweep” method of litter patrol. Once your area is cleaned up, contact headquarters. A staff member will check your site to ensure that all litter has been picked up and that you are ready to leave. Once the staffer has completed your check out, send a leader to Headquarters to retrieve your patches and check out.

Special Needs Form

This form is to be used to notify the WEBELOS Woods Staff of any special dietary, health, mobility or disability needs your unit will have at camp or at the activity attending. The WEBELOS Woods Staff will make every reasonable effort to accommodate your special needs.

It is the responsibility of parents and/or adult unit leaders attending to ensure the person with special needs has everything needed for the duration of the activity or event.

This form will be submitted to the camp or activity personnel. Please be specific in explaining the needs and attach additional sheets if necessary. The contact person you list below may be contacted if event staff has any questions.
