JOB DESCRIPTION – Finance / Administration Officer
The position of Finance / Administration Officer for Opening the Doors Foundation is a continuing part time position, 3 days per week with some level of flexibility available on working hours. The Foundation is a small community based organization, governed by a Board of Trustees and located within the Aboriginal Catholic Ministry Melbourne, St Georges Road, Thornbury, The Finance / Administration Officer is a member of a small administration team, inclusive of volunteers, and reports directly to the Foundation Manager.
The Finance /Administration Officer is employed by Opening the Doors Foundation and employment conditions are in accordance with the National Employment Standards and in line with the values and ethos of Opening the Doors Foundation.
It is expected that the Finance / Administration Officer will bring strong skills in administration duties and the capacity to handle day-to-day finance operations of the Foundation, under the guidance of the Foundation Manager.
As a member of the administration team, the duties of the Finance / Administration Officer for Opening the Doors Foundation will include assisting with:
Administration:
. Data Entry in relation to Applications for Student Grants (the major part of the Foundation’s work), inclusive of financial disbursements;
. Preparation of Annual Activity Statements and Updating of Foundation Manual;
. Preparation of applications for philanthropic funding;
. General Administration and other ad hoc duties as requested and required by the Foundation Manger
Finance: (under the direction of the Foundation Manager).
NB: Support is also offered through the Finance Sub-Committee of the Board of Trustees.
. During the annual Student Grant Application (3-4 months annually) handling disbursements to families and schools;
. Accounts payable, including monthly reconciliations (there is not a large volume of normal accounts payable);
- Contributing to the overall budget performance
- Contribute to the development and implementation of improving accounting processes
. Monitoring Term deposits (with the advice and assistance of the Trustees sub-committee)
. Receiving donations, electronic and regular;
. Preparation of financial reports for Trustees Meetings;
. Supporting the Foundation Manager with the preparation and monitoring of Annual Budget;
. Assisting in the preparation for annual Audit;
. Preparation and Lodgement of annual BAS Return, annual ACNC report in conjunction
with the Annual audit
. Maintain accounts with suppliers associated with Student grant disbursement;
The Finance / Administration Officer will be required to have:
. excellent computer skills including a strong knowledge of accounting software
(RECKON/QUICKON) and all aspects of Microsoft Office
. experience in administration and bookkeeping duties;
. a sound knowledge of current GST legislation including BAS lodgment, and PAYG
lodgement;
- Strong attention to detail and ability to multi task
. a willingness to work as part of a team, yet able to operate individually and responsibly and welcome change for continuous improvement
. a profound respect for and be willing to develop a sound knowledge and understanding of Aboriginal and Torres Strait Islander issues, culture and protocols
. a willingness to develop a knowledge and understanding of the
mission and outcome policies of the Foundation and abide by the ethos of the Foundation.
A current Victorian Working with Children Check and a National Police Check are a mandatory requirement of employment.
